Supporting the Office of the CEO and Executive Office
The Jewish Federation of South Palm Beach County is seeking a highly organized, proactive, and discreet Executive Assistant to support the Office of the CEO, Executive Vice President, SVP of Strategy & Innovation, and VP of Public Affairs.
This high-impact role serves as a key partner to senior management, ensuring the Executive Office operates with efficiency, professionalism, and strong follow-through. The Executive Assistant will manage complex schedules and communications, support board and governance functions, coordinate strategic and cross-departmental initiatives, and assist with development, public affairs, and high-level community engagement.
The ideal candidate is an experienced executive professional with exceptional judgment, attention to detail, communication skills, and the ability to anticipate needs and manage multiple priorities in a fast-paced, mission-driven environment.
Role and ImpactAs a member of the Executive Office, you will help senior management focus on organizational strategy, community leadership, philanthropy, public affairs, and strategic priorities. You will work closely with executives, board members, donors, community leaders, volunteers, and staff and will be entrusted with highly confidential information and important organizational priorities.
Key Responsibilities Executive Office Support & Scheduling- Provide high-level administrative and operational support to the CEO, Executive Vice President, SVP of Strategy & Innovation, and VP of Public Affairs.
- Manage complex calendars, competing priorities, meetings, appointments, travel, and executive logistics.
- Coordinate high-level internal and external meetings, including agendas, materials, RSVPs, catering, AV, and follow-up.
- Serve as a primary liaison for Executive Office communications and prepare executive correspondence, presentations, briefing materials, and reports.
- Process purchase orders and reconcile executive expenses.
- Support the executive office with strategic initiatives, organizational projects, planning, research, and implementation.
- Coordinate cross-departmental priorities, timelines, deliverables, and follow-up.
- Support public affairs activities, community engagements, leadership meetings, and external stakeholder relationships.
- Collaborate with Development, Marketing, Finance, IT, Programs, and other departments on Executive Office priorities and special projects.
- Coordinate high-level events, leadership gatherings, and the Annual Meeting.
- Prepare materials and coordinate logistics for Board of Directors and executive leadership meetings.
- Support governance processes, board communications, bylaw compliance, and committee activities.
- Staff the Nominating Committee and support the annual nominating process.
- Coordinate onboarding and orientation for new board members.
- Maintain accurate board records, committee assignments, and key constituent information.
- Assist with researching and preparing grant proposals, reports, and development materials.
- Track grant deadlines and reporting requirements.
- Collaborate with Development and Finance to ensure timely and accurate submissions.
- Support the executive office with development, fundraising, donor engagement, and philanthropic initiatives.
- Bachelor's degree preferred.
- 5+ years of experience supporting senior executives, preferably in a nonprofit, philanthropic, Jewish communal, public affairs, or mission-driven organization.
- Experience supporting multiple senior leaders or an executive office.
- Experience in development, fundraising, donor relations, grants, or nonprofit advancement.
- Experience working with boards, donors, volunteers, community leaders, and other senior stakeholders.
- Experience supporting strategic initiatives, public affairs, community relations, or cross-departmental projects is valued.
- Exceptional organizational, project-management, communication, and time-management skills.
- Strong judgment, discretion, professionalism, and confidentiality.
- Ability to anticipate needs, manage competing priorities, and work independently.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and CRM/database systems.
- Strong understanding of Jewish traditions, values, culture, and communal service.
