Job SummaryWe are looking for a dependable and organized Medical Records Coordinator to help process and track medical record requests.
The person in this position will sort medical records mail, prepare records for mailing, obtain tracking numbers, send confirmation emails, and keep the medical records spreadsheet up to date.
Job Responsibilities- Sort incoming mail and separate Medical Records mail from mail for other departments.
- Send mail to the appropriate internal departments.
- Review medical record requests received by mail, email, fax, or from healthcare facilities.
- Enter patient and request information into the medical records tracking log
- Print and prepare medical records for mailing.
- Verify that the records are being sent to the correct payor.
- Prepare packages and mail medical records using the appropriate mailing service.
- Obtain and record the shipment tracking number.
- Update the spreadsheet with:
- Date mailed
- Mail Carrier
- Tracking number
- Email correspondence confirming that the medical records were submitted.
- Provide the tracking number in the confirmation email.
- Follow up on missing information or returned mail.
- Keep records and patient information organized and confidential.
- Follow company policies and HIPAA/privacy requirements.
- High school diploma or equivalent.
- Previous office, medical office, or records experience preferred.
- Good computer skills.
- Basic knowledge of Microsoft Excel and Google Drive.
- Attention to detail.
- Good written and verbal communication skills.
- Ability to stay organized and manage multiple requests.
- Ability to handle confidential information.
- Reliable and dependable.
- Is organized and detail-oriented.
- Works well independently.
- Follow instructions and procedures.
- Is comfortable working with spreadsheets.
