We're looking for a sharp, organized, and ownership-driven Operations Coordinator to run the day-to-day operational core of Surface
IQ's Boca Raton location. You'll sit at the intersection of procurement, logistics, client coordination, and administration — keeping orders moving, vendors accountable, and our sales team focused on selling.
This is a high-trust role. You'll work directly under the Managing Partner and be the person who ensures nothing falls through the cracks — from quote to delivery.
What you'll own Orders & Logistics- Process and track purchase orders, quotes, and invoices from confirmation through delivery
- Coordinate with vendors, warehouses, and logistics partners to manage timelines and resolve issues proactively
- Monitor active jobs and flag anything at risk before it becomes a problem
- Serve as the first point of contact for inbound inquiries — designers, architects, GCs, and builders — and route them to the right team member quickly
- Support our outside sales team with quotes, samples, and project follow-through
- Set up and maintain trade accounts and client profiles in our CRM
- Keep the showroom floor organized and on‑brand at all times
- Support management with reporting, scheduling, and operational systems
- Maintain organized project files so every active job has a clear owner and status
- 2–4 years in an operations, administrative, or client-facing role — ideally in stone, tile, flooring, kitchen & bath, interior design, or a related design/construction field
- Familiarity with the trade environment: you understand how designers, builders, and contractors work and what they need from a supplier
- Strong organizational instincts — you track details across multiple active projects without dropping the ball
- Clear, professional communicator — in person, on the phone, and over email
- Comfortable with Google Workspace; CRM and order management experience is a plus
- You anticipate — you don't wait to be told what needs to happen next
