Admissions Representative

We're seeking a highly organized, compassionate Admissions Representative to support our facility's admissions operations. As the first point of contact for patients, families, and referral sources, this role guides callers through the admissions process, answers questions that inform their treatment decisions, and keeps CRM data accurate — all while representing Recreate Behavioral Health with professionalism and empathy.

• Conduct initial phone screenings to assess fit against program admission criteria.
• Manage inbound inquiry calls, answering questions about the program, admissions process, and what to expect in treatment.
• Help patients and families make informed decisions and prepare for admission.
• Address concerns and objections from clients or families with supportive, solutions-focused responses.

• Enter accurate demographic and admissions data into the CRM; maintain up-to-date lead tracking, opportunity status, and follow-up logs.
• Respond to emails and messages promptly and professionally.
• Answer, route, and document all calls and messages accurately.

• Build rapport with clients and families to create a positive first impression.
• Coordinate with the multidisciplinary team for seamless admissions handoffs.

• Protect patient and staff confidentiality per HIPAA and facility policy; access PHI only as needed for job duties.
• Report privacy concerns to supervisors without fear of retaliation.
• Maintain competency in substance use/mental health disorders, trauma-informed care, and suicide/homicide risk response procedures.

• Accept and apply supervision; address feedback promptly.
• Perform additional tasks as assigned.

• 1+ year coordinating patient admissions in a chemical dependency or mental health treatment setting preferred.
• Working knowledge of addiction, substance abuse, and 12-Step Recovery programs.
• Comfortable collaborating with a multidisciplinary team, including on physical health aspects of recovery.
• Strong interpersonal, communication, and problem‑solving skills.
• Excellent organization and attention to detail; able to manage multiple tasks at once.
• Proficient in data entry and CRM systems.
• Understanding of HIPAA and confidentiality requirements.
