Position SummaryFlorida Atlantic University is seeking an HR Specialist, Workforce Administration Records and Control – Boca Raton, FL. The role reports directly to a unit lead, director, or upper‑level administrator and is responsible for paraprofessional HCM recruitment and onboarding processing to support and administer the University’s classification and compensation structures and strategies.
Responsibilities- 30% Onboarding and Data Management Services – Support a comprehensive onboarding process, including completing Form I‑9 verifications; ensure all required onboarding documents and clearances are received, reviewed and tracked prior to start of employment; serve as liaison for new hires and hiring managers; maintain legally compliant record‑keeping of secure employee files.
- 30% Employment Extensions – Review and process employment hires and extension requests for existing OPS, students and adjunct employees; confirm student enrollment for data extensions; obtain necessary approvals; resolve system issues to ensure accurate data in Workday.
- 20% Employment Authorization – Evaluate employment classifications and active work authorizations to ensure compliance with immigration laws; monitor visa expiration reports and notify departments and employees; submit E‑Verify cases and handle Tentative Non‑Confirmations.
- 10% Employment Screenings – Evaluate and determine mandatory employment screenings; collaborate with Recruitment Services and the Office of Compliance; coordinate with employees and hiring departments; manage background check processes.
- 5% General HR Operations – Identify solutions to routine and complex operational problems; meet project deadlines; support broader departmental priorities; maintain internal HR staff manual and operational checklists; assist with Public Records Requests and employment verification.
- 5% Additional Duties – Stay abreast of current HR developments; attend required trainings and conferences; share best practices; perform self‑service updates via Workday; serve on work groups or special committees as assigned.
- Experience working in Human Resources or performing human resources functions in related roles is required.
- Salary range: $45,000 – $55,000 annually; compensation based on experience.

Boca Raton, FL. - Work days and hours:
Monday to Friday, 8:00a.m. to 5:00p.m.; occasional evening, weekend or travel may be required.
