Role Description

This is a full-time, on-site role for a Real Estate Closing Agent / Legal Assistant located in Boca Raton, FL. The individual in this role will be responsible for facilitating real estate closings, preparing and reviewing closing documents, and ensuring compliance with legal requirements. Daily tasks will include liaising with clients, real estate agents, and other professionals to ensure smooth transaction processes, along with providing excellent customer service.

Qualifications
  • Closing Vue Software a bonus
  • Valid Real Estate License and familiarity with Real Property laws
  • Experience in Real Estate closing documents
  • Excellent organizational and communication skills
  • Ability to work independently and manage multiple tasks efficiently
  • Proficiency in legal documentation and closing procedures
  • Previous experience in a legal or real estate setting is a plus
  • Associate or bachelor's degree in a related field is preferred

Responsibilities
  • Welcomes guests and clients by greeting them in person or on the telephone when receptionist is unavailable.
  • Answering or directing inquiries of clients and leads.
  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics, coordinating case preparation.
  • Conserves attorneys time by reading, researching, reviewing, verifying, and routing correspondence, reports and legal documents; drafting letters and documents; collecting and analyzing information; filing, initiating telecommunications; organizing client conferences, and attorney meetings; scheduling couriers, court reporters, expert witnesses, and other special functions; coordinating preparation of charts, graphs, and other courtroom visuals; preparing expense reports.
  • Maintains attorney calendar by planning and scheduling conferences, teleconferences, dispositions, and travel; recording and monitoring court appearance dates, pleadings, and filing requirements; monitoring evidence-gathering; anticipating changes in litigation or transaction preparation requirements.
  • Represents attorney by communicating and obtaining information; following up on delegated assignments; knowing when to act and when to refer matters to attorney.
  • Maintains client confidence by keeping client/attorney information confidential.
  • Keeps clients informed by maintaining contact, communicating case progress.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions; maintaining transcripts; documenting and maintaining evidence.
  • Updates job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional and marketing organizations.
  • Enhances department and organization reputation by accepting ownership for accomplishing new and different requests, exploring opportunities to add value to job accomplishments.
  • Contributes to team effort by accomplishing related results as needed.
  • Appear at work on time and not abuse sick time policy; and
  • Any other duties that may be assigned from time to time.
Performance Expectations

  • Updating clients regularly.

  • Answering telephone calls within 3 rings.
