Legal Secretary
Trust and Estates Legal Assistant needed in our Boca Raton office! The Legal Assistant plays a crucial role in supporting the Trust and Estates practice group and boosting attorney efficiency by managing information and aiding in the delivery of legal services, including client interactions. This position demands a proactive attitude to ensure tasks are completed on time, exceptional organizational skills, keen attention to detail, and the ability to excel in a high-volume, fast-paced environment.
Minimum of three years' experience having worked at a law firm. Trust and Estates experience is required.

- Provide legal administrative support to Trust and Estate attorneys and paralegals.
- Take client calls, connecting all incoming calls, including initial screening for potential clients.
- Responsible for all aspects of client intake including collection of all pertinent information, file opening, engagement documents, etc.
- Handle general correspondence.
- File both physical and electronic documents.
- Heavy dictation.
- Process expense reports and check requests.
- Obtain Tax Identification Numbers for Trusts and Corporate Entities.
- Draft correspondence to client when necessary.
- Schedule and coordinate meetings including video conferences, and conference calls.
- Manage attorneys’ contacts, schedule, and calendar.
- Find and retrieve information from files.
- Assist with follow up on AR collection. Send out reminder statements.
- Assist attorneys and paralegals in preparation for meetings.
- Maintain confidentiality of client information.
- Manage information through various firm databases, including but not limited to MS Teams, Word, Excel, iManage, and other platforms.
- Draft correspondence and send completed documents to client when necessary.
- Attend estate planning signings for clients when necessary.
- Sort and distribute prebills monthly
- Other duties as assigned
