Project Director / Emergency Response Coordinator
The Project Director / Emergency Response Coordinator is responsible for the planning, coordination, and execution of restoration and emergency response projects from an office-based setting. This role merges project management leadership with dispatch coordination and resource deployment, serving as a central point of contact for clients, vendors, field teams, and internal stakeholders. The Project Director / ERC will manage day-to-day project activities, coordinate emergency response logistics, assign and deploy field personnel and resources, and support Field Project Directors across active job sites.
This position operates primarily from the office during normal business hours; however, it requires on-call availability and after-hours responsiveness to manage emergency projects and support assigned work. Travel may be required during catastrophic events or to provide on-site support for large-scale projects as operational needs dictate.
Project Director — Assigned Projects
- Plan, organize, and direct multiple small restoration projects from start to completion.
- Ensure projects meet all scope, schedule, and budget objectives while maintaining quality and safety standards.
- Act as the primary client representative for assigned projects, responsible for communication, schedule, and budget delivery.
- Prepare restoration estimates, scopes of work (SOW), and budgets; monitor project costs to ensure profitability.
- Review vendor and subcontractor proposals and negotiate terms to meet target profit margins.
- Manage contracts, financial tracking, project documentation, and timely close-out activities, including final billing and customer deliverables.
- Work with clients, insurance carriers, and third parties to resolve invoice disputes and ensure timely payment on assigned projects.
- Ensure timely and complete handoff of project scopes and documentation to the preconstruction estimating team.
- Deliver daily or periodic project updates to clients and internal stakeholders as required.
- Build and maintain strong relationships with clients, subcontractors, and partners to support long-term business growth.
- Promote and enforce company safety policies, SOPs, building codes, and applicable regulations on all assigned projects.
- Coordinate and support inspections, audits, and quality assurance reviews; attend on-site as needed.
Emergency Response Coordinator — Dispatch & Field Support
- Coordinate immediate response to emergency service calls regardless of source or point of intake.
- Dispatch and assign field teams, first responders, and vendors based on urgency, location, and availability.
- Make Restoration Supervisor assignment and dispatch routing decisions using established protocols and decision-making guidelines.
- Fulfill daily resource requests, maintain resource forecasts, and support balanced workloads across teams.
- Act as a point of contact for resource booking confirmation and conflict resolution; coordinate cross-departmental communication to ensure seamless project delivery.
- Identify and correct under- or over-allocations of the field operations team by reassigning resources or escalating to leadership as needed.
- Participate in on-call rotation to provide after-hours emergency response coverage and project support.
- Oversee the movement of equipment, materials, and personnel between locations to meet operational demands.
- Track response times, utilization rates, and field performance to ensure prompt and efficient service.
- Assist and support Field Project Directors on active losses, including resource coordination, logistics, and administrative support.
- Work with field superintendents, project managers, and vendors to ensure all parties are aligned with project goals and timelines.
