Office Administrator/ Coordinator
Pay: $18.00–$21.00 per hour
Job Description: The Scheduling Coordinator is responsible for ensuring all client shifts are consistently staffed by managing caregiver schedules and coordinating real‑time coverage. This role focuses on matching caregivers to clients based on skillset, availability, and compatibility while maintaining flexibility to respond to call‑outs, schedule changes, and urgent staffing needs.
The Scheduling Coordinator builds and maintains weekly schedules, communicates updates with caregivers and clients, and works to ensure continuity of care. This position plays a critical role in delivering a reliable and high‑quality client experience by minimizing gaps in coverage and optimizing caregiver utilization.
The ideal candidate is highly organized, solution‑oriented, and thrives in a fast‑paced environment. They are able to think quickly, communicate clearly, and solve problems under pressure while managing multiple priorities.
Responsibilities:
- Build and maintain weekly caregiver schedules
- Match caregivers to clients based on skills, availability, and needs
- Respond to call‑outs, no‑shows, and last‑minute changes
- Secure shift coverage quickly to avoid gaps in care
- Communicate schedule updates with caregivers and clients
- Maintain accurate and up‑to‑date scheduling records
- Monitor coverage, overtime, and caregiver utilization
- Coordinate with recruiting team on staffing needs
Qualifications:
- 2+ years of scheduling, dispatch, or coordination experience
- Strong organizational and time management skills
- Ability to multitask in a fast‑paced environment
- Excellent communication and problem‑solving abilities
- Experience with Google Suite and scheduling software
- Healthcare or home care experience preferred
Schedule: Full‑time, Monday–Friday with on‑call rotation
