About the role

We are seeking an Junior level Personal Assistant to CEO to join our leadership team in Jakarta on a full-time basis
. This is a strategic support position that will play a vital role in enabling our Chief Executive Officer to operate at maximum effectiveness. You will be the executive's key organisational resource, managing their calendar, correspondence, and key priorities whilst acting as a liaison between the CEO and other departments. This role offers an exceptional opportunity to work at the highest level of the organisation, supporting critical business decisions and maintaining the smooth functioning of the executive office.

Key

responsibilities
  • Managing the CEO's full calendar, including scheduling meetings, travel arrangements, and ensuring optimal time management across competing priorities
  • Preparing comprehensive briefing documents, presentations, and executive summaries to support strategic decision-making and meetings
  • Handling confidential correspondence and communications on behalf of the CEO, including email management and communication with internal and external stakeholders
  • Coordinating board meetings, executive retreats, and high-level business events, including logistics, documentation, and follow-up actions
  • Managing travel arrangements, itineraries, and expense management for the CEO's domestic and international trips
  • Maintaining confidentiality and exercising discretion when handling sensitive company information and strategic matters
  • Acting as a first point of contact for the executive office, screening calls, visitors, and requests to ensure the CEO's priorities are protected
  • Supporting the coordination of cross-functional projects and initiatives that require CEO involvement
  • Performing ad hoc administrative tasks and special projects as required to support executive operations
What we're looking for
  • Highly fluency in English verbal as well as literacy
  • Minimum 1 to 2 years' experience as a Personal Assistant, Executive Assistant, or Secretary to senior management level, preferably to a CEO or equivalent executive
  • Excellent organisational and time management skills, with the ability to manage complex, multifaceted responsibilities and competing priorities simultaneously
  • Outstanding written and verbal communication skills in English; fluency in Indonesian is highly desirable
  • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and other relevant office management software
  • Discretion and ability to handle confidential and sensitive information with absolute professionalism
  • Proactive and adaptable mindset with the ability to anticipate the CEO's needs and take initiative in problem-solving
  • Strong interpersonal skills and the ability to build effective relationships across all levels of the organisation
  • Experience with calendar management tools, travel booking systems, and expense management platforms
  • Attention to detail and commitment to accuracy in all administrative tasks
  • Demonstrated ability to work independently and use good judgement in supporting executive-level operations
  • Familiarity with Jakarta's business environment and local logistics is preferred
