POSITION GENERAL SUMMARYPerforms a wide variety of customer service and clerical functions to index, process, issue, preserve, and retrieve records including applications. Primary tasks include working with the public, providing instruction on recording procedures, record-keeping and data entry, cashiering work, document verification, and research. The position requires strong interpersonal and customer service skills with a high degree of accuracy and attention to detail.
Recording clerks are assigned one or more specific service areas, each with varying levels of complexity and skill requirements. This position includes Passports.
The employee works under general supervision and must exercise judgment in the application of prescribed procedures and methods to routine matters. The work requires broad working knowledge of the Passport application procedures system in order to perform the more complex functions of the job to be able to accomplish the clerical work of the office independently.
Recording Clerk - Passports- Acts as front-facing contact for public, greeting persons and accepting and processing passport applications in accordance with training and instruction;
- Ensures customers submit completed applications;
- Verifies submitted documents for passport applications;
- Photographs customers for passports;
- Provides general information in response to public or official queries;
- Will act as a backup to other recording clerk service areas when needed;
- Assists with trouble-shooting and testing of technology related to recording functions;
- Performs related functions as required.
- Must have a high school diploma or equivalent;
- One year of related clerical office experience required;
- Good knowledge of English grammar, spelling and punctuation;
- Good knowledge of business math;
- Good knowledge of general office equipment and filing systems;
- Skill in operating a personal computer and Microsoft Office programs;
Ability to utilize mapping and recording software;
- Ability to understand and follow verbal and written directions;
- Ability to plan, gather, and organize records and related data;
