About the Role

The Executive Assistant provides high‑level administrative support to the CEO and President of Roundhouse Communities and administrative and office support to the COO and CFO. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs in a dynamic and fast‑paced environment. The position requires independent judgment, professionalism, and leadership in managing administrative processes and office functions.

Key Responsibilities
  • Provide comprehensive administrative support to the executive team (four executive team members), including complex calendar management, scheduling, and meeting coordination.
  • Help manage/remind hold what our days look like based on calendar.
  • Prepare presentations, reports, correspondence, and other materials on behalf of leadership.
  • Coordinate travel arrangements, itineraries, and logistics for executive meetings and events.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Track and support key initiatives, projects, and deadlines across departments.
  • Oversee day‑to‑day office operations, ensuring a well‑organized and efficient workplace.
  • Serve as the primary point of contact for vendors, service providers, and building management.
  • Manage office supplies, equipment, and workspace needs, anticipating and resolving issues proactively.
  • Plan and execute company meetings, events, and employee engagement activities.
  • Assist with expense reporting, budget tracking, and invoice processing.
  • Identify and implement process improvements to enhance administrative efficiency.
  • Perform other related duties as assigned, in compliance with applicable laws and consistent with the essential functions of the role.
About You
  • Minimum of 5 years supporting senior executives or leadership teams in a professional setting.
  • Strong proficiency in Microsoft Office Suite.
  • Exceptional written and verbal communication skills.
  • Excellent organizational and time management abilities.
  • Strong problem‑solving skills and a proactive mindset.
  • Professional presence, sound judgment, and the ability to maintain confidentiality.
  • Occasional travel may be required.
  • Occasional early morning, evening or weekend work may be required to support executive activities or company events.
