Construction Administrator

This role supports complex construction projects by drafting and managing contractual notices, ensuring strict compliance with contract requirements, and coordinating with cross-functional teams. The Construction Administrator / Notice Writer maintains the integrity of project documentation, supports commercial and contractual alignment, and plays a key role in dispute avoidance and resolution within a contract administration function.

Responsibilities
  • Draft, review, and issue formal contractual notices, including delay notices, change notifications, and claims correspondence, in alignment with contract requirements.
  • Ensure all notices are clear, accurate, and delivered within the required contractual time frames.
  • Align all notices and related documentation with the Project Organization Plan and established document control procedures.
  • Verify that notices and documentation comply with Owner requirements, including Code of Accounts, Change Control Plan, and risk management protocols.
  • Receive and process notices from the general contractor and other project stakeholders in a timely and organized manner.
  • Maintain and update the Notice Register on a daily basis to ensure accurate tracking and documentation of all notices.
  • Distribute notices to appropriate stakeholders and follow up to secure timely responses and resolution of issues.
  • Maintain detailed communication logs to ensure full traceability of all correspondence and decisions related to notices.
  • Partner closely with Project Management, Legal, and Construction teams to validate notice content, assess risk exposure, and understand contractual implications.
  • Apply commercial acumen to guide stakeholder engagement and support dispute avoidance and resolution efforts.
  • Upload, organize, and manage all notices and related documents within enterprise systems such as Procore, SharePoint, or Quick Base.
  • Ensure all documentation meets audit requirements and internal quality standards.
  • Track critical notice deadlines and maintain complete, accurate records to support contractual and regulatory compliance.
  • Provide ongoing commercial and administrative support to the Contract Administration Team on contract-related and commercially driven tasks.
  • Assist with archiving, organizing, and maintaining commercial documentation to support project closeout and future reference.
  • Support overall construction administration and project coordination activities, including data entry and document control tasks as needed.
Essential Skills
  • 7+ years of experience in construction contract administration, claims, or notice management.
  • Strong understanding of construction contract terms and conditions, including schedule, change management, and claims.
  • Experience with document control systems and compliance standards in a construction environment.
  • High attention to detail with strong written communication skills, particularly in drafting formal contractual correspondence.
  • Ability to coordinate effectively across cross-functional project teams and manage competing deadlines.
  • Proficiency with Procore for construction project documentation and notice management.
  • Proficiency with Quick Base for tracking and managing contractual and commercial data.
  • Experience using SharePoint for document control and collaboration.
  • Strong construction administration experience, including document control and project coordination.
  • Proficiency with the Microsoft Office Suite for document preparation, tracking, and reporting.
  • Accurate data entry skills to maintain registers, logs, and records.

  • Experience working within a contract administration or owner's representative consulting environment.
  • Exposure to IPD (Integrated Project Delivery) and lean construction methodologies and tools.
  • Demonstrated commercial acumen and the ability to support dispute avoidance and resolution.
  • Experience supporting large, complex construction projects, including semiconductor or advanced manufacturing facilities.
  • Strong organizational skills and the ability to maintain comprehensive, audit-ready records.
  • Comfort working with enterprise-level project management and document control platforms.
  • Interest in ongoing professional development through structured learning and training programs.
Work Environment

This is a salaried position structured around a standard 40-hour workweek with a strong emphasis on work-life balance. The role supports major construction projects, including work associated with a large technology client in Boise. The position can be based on site in Boise or local to the Portland area. For those based near Portland, the role follows a hybrid schedule with three days per week in the Lake Oswego office and the remaining time remote, offering flexibility while maintaining close collaboration with the team.
