$20 per hour + medical, dental, vision, 401K+4% match, life insurance

SCHEDULE

Working Model:
On‑site during training; transition to hybrid upon demonstrated proficiency

Working Hours:

Monday – Friday, standard business hours

POSITION OVERVIEW – Administrative AssistantRESPONSIBILITIES
  • Manage ISNetworld (ISN) compliance handling for assigned clients
  • Support ongoing compliance activities for established clients
  • Coordinate training and compliance requirements including fit testing and certification tracking
  • Maintain and update compliance documentation and records for all active client accounts
  • Perform accurate data entry including uploading documents and manually entering information into applicable systems
  • Retrieve new hire documents from Avionte and Panda Docs; upload and maintain records in Employee Navigator and Fidelity
  • Enter and retrieve invoices as needed to support the accounting and operations teams
  • Print and organize documents in support of payroll preparation
  • Assist with payroll processing including timesheet collection, review, and preparation
  • Update invoice spreadsheets and employee timesheets on a regular basis
  • Maintain and update Employee Status records in Google Sheets
  • Add and maintain tasks and items in the company planner and Quick Books
  • Perform accurate data entry and maintain electronic records across multiple platforms
  • Answer and direct emails and internal communications professionally
  • Assist with document preparation, filing, and general office support
  • Support various administrative projects and daily operations across departments
  • Create and maintain reports, sharing resulting data with appropriate stakeholders
  • Assist with employee file maintenance and HR documentation
  • Support organization of safety files, training records, and required compliance reporting
  • Draft and help maintain company policies and internal procedures
PERFORMANCE MEASUREMENT
  • ISNetworld compliance and client documentation is kept current and accurate for all assigned accounts
  • New hire documents are retrieved, entered, and filed across all systems accurately and without delay
  • Invoices are entered and retrievable; payroll prep materials are organized and submitted on time
  • Timesheets, spreadsheets, and Employee Status records in Google Sheets are updated on schedule
  • Quick Books entries and planner tasks are maintained with accuracy and consistency
  • Administrative records and filings are organized and consistently up to date across all departments
  • Communications are handled professionally and responsively across HR, Operations, Payroll, and Accounting
REQUIRED QUALIFICATIONS/SKILLS
  • High school diploma required; some college preferred
  • Previous administrative or office experience preferred
  • Proficiency in Microsoft Office (Word, Excel, Outlook)
  • Experience with Google Workspace (Docs, Sheets, Drive, Gmail)
  • Working knowledge of ISNetworld preferred
  • Basic knowledge of Quick Books Desktop preferred
  • Familiarity with Avionte, Panda Docs, Employee Navigator, or Fidelity a plus
  • Familiarity with payroll processing or bookkeeping is a plus
  • Strong computer and data entry skills; tech‑savvy with ability to learn new software quickly
  • Detail‑oriented and process‑driven with strong organizational and time management skills
  • Excellent written and verbal communication skills
  • Ability to maintain confidentiality and professionalism
  • Self‑motivated with the ability to work independently and remotely
  • Comfortable collaborating with team members across multiple locations
  • Brings fresh perspective, new ideas, and a proactive approach to improving processes
  • Positive attitude, strong work ethic, and genuine willingness to learn and grow with the company
