The Idaho Department of Insurance (DOI) is seeking a Technical Records Specialist 1 in the Producer Licensing Section. Ideal candidates are those who are detail-oriented, organized, and self-motivated with excellent customer service skills. The selected candidate will be one of a four-member team working with the Producer Licensing Supervisor in the Company Activities Bureau.
This Technical Records Specialist 1 position works with insurance professionals submitting applications for new and renewing licenses via an electronic system for over twelve different license types; assists vendors in maintaining compliant continuing education courses; provides information and education to customers on Licensing protocols and procedures in a professional and courteous manner.
All positions in this section are cross-trained, which helps build skills and confidence to support the licensing team and Idahoans. Each team member performs work independently answering questions from insurance professionals by phone, email, etc. This role will have the support of a strong, cohesive team. The agency encourages staff growth and development as motivated staff members are encouraged to take paid trainings to receive industry-related designations.
EXAMPLEOF DUTIES:
- Checks and distributes daily mail for payments
- Uses proprietary software to complete work in a variety of functional areas
- Uses a digital filing system
- Reviews website forms/templates and section transaction procedures for needed updates and may perform those updates
- Develops and provides reports and correspondence
- Consults with licensees and other sections of the department regarding licensing issues
- Provides outstanding customer service by phone, in-person, and through email
- Participates in meetings, trainings, industry conference calls, and webinars to learn about insurance topics
Experience:
- Monitoring a records system to identify and correct errors
Typically gained by at least one (1) year of experience maintaining electronic or physical records systems including identifying, researching, and correcting errors to ensure data accuracy and integrity
- Researching a variety of sources to resolve problems
Typically gained by at least one (1) year of experience conducting detailed research and analysis of complex or technical information. This includes reviewing multiple sources, verifying data with internal and external stakeholders, and determining appropriate actions based on laws, policies, or program requirements.
- Interpreting, explaining and applying regulations, laws, or complex policies to carry out assignments
Typically gained by at least one (1) year of experience performing the duty listed above. Experience must involve reviewing documentation or explaining regulatory requirements. General reception duties do not meet this qualification.
- Entering and retrieving data using a computerized records system
Typically gained by at least one (1) year of experience entering, updating, and retrieving information in a computerized records or database system as a primary job responsibility

- Working with sensitive or restricted data
Typically gained by at least one (1) year of experience in maintaining strict confidentiality of non-public information
DESIRED CANDIDATES WILL HAVE (not required):Experience:
- At least one (1) year of experience in customer service including assisting customers with issues and problems
Ability to:
- Use effective business English, spelling, punctuation, and grammar to compose and edit documents
- Use Adobe Pro (or equivalent) to create and edit PDF documents
The selected candidate will be required to successfully pass a fingerprint background check prior to hire date and every five years thereafter.
