The Trial Court Administrator, Sandra Barrios, oversees all administrative responsibilities of the Fourth Judicial District. This includes responsibility for facilities management; serving as a liaison between agencies, the media, and the public; and developing and carrying out policies that enhance court system performance. PositionGeneral Summary
Provides comprehensive administrative, clerical, and medical billing support to the Treatment Court programs and Nurse Practitioner. Performs a combination of front-office coordination, medical records management, and specialized medical coding and billing functions. Ensures accuracy, compliance, and confidentiality in all patient, billing, and program-related records in accordance with applicable regulations. Performs other related work as assigned.
Distinguishing Features of the ClassThis position requires independent judgment in applying established administrative and billing procedures, with a strong emphasis on accuracy, organization, and regulatory compliance. The incumbent is expected to proactively identify workflow improvements and support efficient office operations. Work is performed under the general supervision of the ACTS Center Supervisor. The employee exercises initiative in completing recurring assignments and resolving routine issues. Complex or sensitive matters are referred to the supervisor.
Work is reviewed for accuracy, completeness, and adherence to policies and procedures.
Medical Coding and Billing:
- Reviews medical documentation to assign accurate diagnostic and procedural codes (e.g., ICD, CPT, HCPCS) for billing and recordkeeping purposes;
- Ensures coding accuracy and compliance with federal, state, and payer-specific regulations;
- Processes and submits claims to various payers including Medicaid, Medicare, private insurance, and other contracted entities;
- Verifies patient eligibility, coverage, and authorization requirements prior to billing;
- Monitors claim status, identifies discrepancies, and resolves billing issues in a timely manner;
- Investigates and processes claim denials, including preparation and submission of appeals;
- Posts payments, adjustments, and account activity into billing systems;
- Reconciles accounts and ensures accuracy of charges and payments;
- Maintains and manages billing records, reports, and audit documentation;
- Coordinates with providers, insurance companies, and external agencies to resolve billing inquiries.
Administrative and Office Support:
- Provides direct administrative support to the Nurse Practitioner, including scheduling appointments, managing calendars, and coordinating patient visits;
