Education Coordinator

The Education Coordinator serves the Idaho Courts by ensuring the effective delivery of high-quality education for judicial branch professionals. Working in a collaborative and dynamic environment, the Coordinator supports the Education Department staff and partners through skillful organization, communication, and logistical management. This position is central for the planning and executing conferences and educational events, managing learning resources, facilitating online education, and supporting daily departmental operations.

Regularly working with judges, court professionals, and presenters, the Coordinator provides responsive, professional, and solutions-focused assistance. Through proactive planning, attention to detail, and a commitment to exceptional service, the Education Coordinator strengthens the quality, consistency, and impact of education across the Idaho Courts. This position works under the direction of the Education Manager.

Leads the logistical planning and onsite execution of in-person conferences and trainings;

Coordinates all elements of registration for both in-person and online educational offerings;

Arranges venues, catering, lodging, travel, and all necessary equipment and supplies (including audiovisual equipment) for educational offerings;

Manages the lifecycle of educational materials by coordinating with presenters, ensuring timely submission and quality, posting content to the Learning Management System (LMS), and maintaining accurate version control;

Staffs the registration desk at in-person educational events, maintaining a high level of professionalism, courtesy, and customer service when assisting attendees, presenters, guests, venue staff, and other stakeholders;

Hosts and facilitates live online educational offerings, providing an engaging and professional experience for participants while staying current with Zoom capabilities and virtual learning best practices;

Manages complex departmental scheduling by coordinating meetings, conferences, and educational offerings to ensure alignment of priorities and smooth operational flow;

Coordinates contracts and agreements with vendors and speakers by preparing accurate documentation, maintaining proper version control, and ensuring compliance with the agency contracting process;

Assists with administration of the learning management systems (LMS);

Maintains training records, program attendance, and evaluations;

Supports committee work by arranging meeting facilities, preparing agendas and materials, coordinating travel arrangements, attending meetings, preparing and circulating meeting notes/minutes, and post-meeting communications;

Tracks the progress of department operational work, identifying and escalating barriers, exercising proactive planning, and coordinating interdependent tasks;

Develops, reviews, and revises Education Department SOPs;

Assists with developing and monitoring of budgets for educational offerings;

Tracks delegated tasks and ensures activities are completed to meet deadlines;

Monitors incoming communications and flags critical items for follow-up;

Composes, formats, edits, proofreads, and transcribes a variety of documents, including correspondence, memoranda, reports, agendas, minutes, and other materials;

Assists with the administration of the Mentor Judge Program;

Assists with training/course development, maintenance, and revision;

Maintains and tracks department files on SharePoint;

Makes travel arrangements and submits expense reports;

Monitors departmental supply inventory and orders supplies according to need and budget;

Assists in the evaluation of educational offerings through survey creation, deployment, and reporting;

Assists with special projects and initiatives;

Recommends and implements procedural improvements;

Performs other duties as assigned.

The Idaho Courts reserve the right to consider an equivalent combination of education, training, and/or experience necessary to successfully perform the major responsibilities of the position.

Education and Experience:

High school diploma or equivalent required, associate or bachelor's degree preferred;

Three years of coordination and/or executive-level administrative support experience required;

Event planning experience preferred.

Knowledge, Skills, and Abilities:

Knowledge of English grammar, punctuation and spelling;

Knowledge of general office practices and procedures;

Knowledge of and experience with the Microsoft 365 suite;

Knowledge of Adobe Acrobat;

Knowledge of Zoom or comparable video conferencing platform;

Knowledge of Microsoft Forms or comparable surveying software;

Knowledge of adult learning practices preferred;

Knowledge of the technology involved in the delivery of adult learning programs preferred;

Knowledge of the Idaho court and/or legal system preferred;

Knowledge of project management principles preferred;

Knowledge of event planning and management preferred;
