As an Administrative Assistant 1, you'll play a key role in managing day-use reservations, retail operations, special events and visitor services. Show off your exceptional communication skills as you provide accurate information to visitors and research intriguing details about park facilities, rules, policies and events. Your retail expertise will shine as you select products and create eye-catching displays for the park visitor center.

EXAMPLE OF DUTIES
  • Operations Support: Understands, supports and complies with park and IDPR goals, policies and procedures; is knowledgeable about local, regional and state issues that may affect the park; obtains skills required for computer, fiscal operations, retail sales and reservations; maintains professional appearance according to departmental policy; attends all required Department trainings and meetings; participates in staff meetings;
  • Visitor Services:Provide accurate information to the public in person, by phone, email and social media in a courteous and friendly manner; responds accurately to questions about park facilities, rules, policies and fees; procures and displays brochures, maps and other information materials.
  • Retail:Selects, purchases, stocks, prices and displays product for the park retail program; maintains supplier information, processes bills and invoices, monitors budget, tracks inventory; creates and posts flyers to promote retail shop.
  • Supervision: Recruits, interviews, hires, schedules, trains and assigns tasks for Visitor Center and Entrance Station employees and volunteers; tracks volunteer database and hours. Ensures new employees are on boarded correctly and complete required training.
  • Maintenance:Ensures visitor center and public restrooms are cleaned to standard and accomplishes housekeeping duties as required; cleans and organizes storage areas as needed; ensures janitorial supplies are available.
  • Financial: Adheres to all department fiscal procedures; processes incoming funds in the form of Motor Vehicle Entry, reservation, moorage and event fees; creates deposits and transports monies to bank; maintains change funds; processes invoices into Payment Services; maintains financial records in accordance with departmental policies; processes bills and invoices, manages marina moorage leases and other agreements
  • General Office Functions: Provides customer service, answers and returns phone call, texts, e mail and other forms of communication; organizes and maintains files, records and other documents; tracks monthly reports, purchases supplies, reviews and edits manuals, procedures and schedules; create worksheets, reports, power points and other documents as needed; tracks budgets, revenue, expenses and other fiscal reports; maintains park social media accounts;

    processes group use applications, maintains park calendar listing projects, trainings, park and community events.

  • Employment is contingent upon the successful completion of a background check.
MINIMUM QUALIFICATIONS
  • Good knowledge of office support functions including word processing, spreadsheet software and Microsoft Office, filing, composing a variety of business documents and reception .Typically gained by at least two years of experience performing administrative tasks in a professional setting; or a combination of skills acquired through work experience, completion of relevant coursework, or structured on-the-job training.
