Recruitment Virtual Assistant / Candidate Care Coordinator
About the Role

We are looking for an experienced Recruitment Virtual Assistant / Candidate Care Coordinator to support our fast-paced blue-collar recruitment and labour hire operations.

This role will manage the candidate journey from application and initial screening through to onboarding, mobilisation and ongoing candidate care.

You will need to be confident speaking with candidates every day, highly organised, experienced in blue-collar recruitment and able to work independently in a high-volume environment.

Fluent spoken and written English is essential , as a large part of this role involves conducting candidate screening calls, discussing job requirements, following up documentation and communicating clearly with candidates and internal team members.

Key Responsibilities
Candidate Screening
  • Review and shortlist incoming applications.
  • Conduct initial phone and video screening interviews.
  • Screen candidates against role requirements including:
    • Relevant blue-collar experience
    • Trade qualifications
    • High Risk Work Licences
    • Tickets and competencies
    • Site and industry experience
    • Availability
    • Roster preferences
    • Location
    • Pay rate expectations
    • Medical and mobilisation readiness
  • Complete detailed candidate screening notes.
  • Identify suitable candidates and elevate them to recruiters or account managers.
  • Re-engage existing candidates within the database.
  • Maintain active talent pools for current and upcoming vacancies.
Candidate Care
  • Maintain regular communication with candidates throughout the recruitment process.
  • Provide updates on applications, interviews, onboarding and mobilisation.
  • Follow up candidates for outstanding information.
  • Respond professionally and promptly to candidate enquiries.
  • Check in with placed workers where required.
  • Assist with redeployment of workers finishing assignments.
  • Maintain a professional and positive candidate experience.
Onboarding & Compliance
  • Coordinate onboarding for successful candidates.
  • Send and follow up employment documentation.
  • Collect and maintain required compliance documents.
  • Assist with coordinating:
    • Pre-employment medicals
    • Drug and alcohol screens
    • Police clearances
    • Right-to-work / VEVO checks
    • Licences and tickets
    • Trade qualifications
    • References
    • Site inductions
    • Training certificates
    • Payroll documentation
  • Track outstanding onboarding requirements.
  • Ensure candidate files are complete and mobilisation-ready.
  • Liaise with recruiters and mobilisation staff regarding candidate status.
Recruitment Administration
  • Maintain accurate candidate records within the CRM / ATS.
  • Update candidate notes after every interaction.
  • Upload and maintain licences, tickets and compliance documents.
  • Format resumes and candidate profiles where required.
  • Schedule interviews and screening calls.
  • Conduct reference checks.
  • Maintain recruitment and mobilisation trackers.
  • Assist with job advertisements and applicant management.
Essential Requirements
  • Fluent spoken and written English.
  • Previous experience working in blue-collar recruitment.
  • Experience screening blue-collar candidates by phone.
  • Understanding of trades, labour hire or industrial recruitment environments.
  • Experience managing high volumes of applicants.
  • Strong candidate communication and relationship management skills.
  • Previous experience with candidate onboarding and compliance.
  • Strong attention to detail.
  • Excellent administration and organisation skills.
  • Confidence following candidates up by phone, email and message.
  • Ability to work independently and manage competing priorities.
  • Experience using an ATS, CRM or recruitment database.
Highly Regarded Experience
  • Experience recruiting within any of the following areas will be highly regarded:
    • Mining and resources
    • Construction
    • Civil
    • Shutdowns and maintenance
    • Trades
    • FIFO recruitment
    • Hospitality or mining village operations
    • Transport and logistics
    • Labour hire
  • Knowledge of Australian blue-collar licences and compliance requirements will also be highly regarded, including:
    • High Risk Work Licences
    • White Cards
    • Trade qualifications
    • VOCs
    • Medicals
    • Drug and alcohol testing
    • Police clearances
    • Site inductions
