DEFINITION:
The Community Development Department is seeking a proactive, detail-oriented individual to join the team as a Secretary. This position supports daily administrative operations, provides exceptional customer service, and coordinates the intake, review, processing, and issuance of a variety of permits and related documentation. The Secretary plays an integral role in coordinating office activities, preparing materials for public meetings, maintaining records, and serving as a liaison between staff and the public.
Success in this role requires strong communication skills, the ability to stay organized under pressure, and a collaborative working style. The ideal candidate is comfortable managing multiple priorities, adapting to changing needs, and ensuring administrative processes run efficiently and effectively. This position is represented by the AFSCME union.
LOCATION:
Village Town Center, 375 West Briarcliff Road, Bolingbrook.
SHIFT:
Work shifts are usually eight (8) hours in duration and 40 hours per week. Work shifts are often extended for special meetings and in the event of emergencies, disasters, manpower shortages, workload or work in progress. Normal work week is Monday through Friday but may be extended due to departmental needs.
RESPONSIBILITIES:
- Provides general administrative support for department staff, including assistance with processing applications for planning/zoning requests, processing payments, maintaining village files, and preparing special reports.
- Maintains files, including digital, for applications made to board/commissions/committees.
- Acts as an intermediary for staff, maintaining frequent contacts with public and private officials, contractors, and other officials; screens and routes calls, and answers inquiries as appropriate.
- Prepares letters and ordinances, often requiring knowledge of specialized terminology of the department, and prepares correspondence and other materials on a variety of general and technical topics of a non-confidential and confidential nature.
- Screen calls, emails, and visitors and direct inquiries appropriately with a primary responsibility of working the front counter.
- Provides administrative support for local adjudication system.
- Prepares and initiates correspondence.
- Schedules appointments.
- Prepares check requests and purchase orders.
- Performs other duties as assigned.
REQUIREMENTS:
- High school diploma or equivalent; a degree in accounting, finance, or a related field preferred.
- Advanced proficiency in office software including word processing, spreadsheets, presentation software, records management systems, Open Gov and Tyler Munis.
- Ability to pass a pre-employment background check, physical and drug screening.
- Communicate clearly and concisely both verbally and non-verbally.
- Ability to respond quickly and accurately under pressure.
- Ability to walk, stand, or sit for long periods of time.
- Ability to work independently.
- Ability to interact professionally with residents, contractors, and the general public.
- Reside within thirty (30) miles of the center of the Village of Bolingbrook (as determined by the Public Works Department), or within a municipality, any portion of which is located within thirty (30) miles of the center of the Village of Bolingbrook. This must be satisfied within six (6) months of the end of the probationary period.
