Summary

Responsible for the smooth and efficient operation of the school administrative office, ensuring all duties are completed timely and competently, personally or by delegation.

Responsibilities
  • Assist office staff and greeting staff, students, parents, community members, district staff, and visitors; provide information, answer inquiries, and offer oral and written support.
  • Provide administrative support to the principal and administrators by coordinating schedules, meetings and events; composing and formatting correspondence, newsletters, handbooks, reports, other communications, and maintaining the school website.
  • Assist in building security procedures, including monitoring entrance and use of the Raptor system, greeting authorized personnel, managing security codes, keys and fobs, and assisting with safety procedures such as fire drills, emergency evacuations, and lockdowns.
  • Provide backup support in the principal’s absence for student behavior concerns and discipline; follow up with students, parents, staff, and district as needed.
  • Monitor the substitute management system to ensure complete staffing of the school; maintain confidentiality of personnel data.
  • Manage office workflow, including training, planning, assigning tasks, scheduling classified staff and building substitutes, and updating office procedures and equipment.
  • Collect fees and fund payments from student events (e.g., field trips, uniforms, ticket sales, yearbooks, dances) and manage accurate transaction completion.
  • Maintain computerized and manual records, files, and department databases to document activities and comply with district, state, and federal requirements.
  • Maintain inventory of supplies and materials (e.g., forms, office supplies).
  • Orient new campus personnel on school and district practices.
  • Oversee student workers to develop office skills and ensure understanding of policies.
  • Process fiscal information (e.g., invoices, purchase orders, student fees) and communicate updates.
  • Assist other staff in completing their work activities and provide additional support to the principal and other administrative staff.
  • Ensure the office operates effectively and safely at all times.
  • Perform other duties as assigned.
  • Qualifications
    • High school diploma or equivalent.
    • Experience in secretarial work, computer skills, and customer service/office management preferred.

    Essential Equipment Knowledge
    • Experience with personal computers, Google Suite (Mail, Calendar, Drive).
    • Experience with office equipment such as telephones, copier, fax machine, and email.
    Physical Requirements

    Standing, walking, or sitting for the majority of the shift; occasional lifting of light objects up to 25 pounds. The work setting is a typical school environment with moderate noise levels and regular use of office equipment.
