Job Title

Student Account Specialist

Salary

$65,000 – $80,000 per year, commensurate with experience and education. Full‑time, benefited, exempt APA position.

Working Hours

37.5 hours per week, with flexibility to work evenings and weekends as needed.

Overview

The Student Account Specialist is a key member of the Business Office/Student Accounts Department, reporting to the Bursar within the Administration & Finance Division.

As the primary point of contact for all student financial accounts, the Specialist is responsible for accurate billing and collection of tuition, residence charges, and related fees across Undergraduate, Graduate, and Continuing Education programs.

Key Responsibilities
  • Operational Management of student accounts, including billing, refunding, posting payments, verifying deposits, and generating cash balance reports.
  • Oversight of Title IV and other financial aid postings, ensuring compliance with state/federal regulations and Mass Art policies.
  • Management of payment batch processing, including adjustments, waivers, and exemptions, and coordination with accounting for resolution of batch issues.
  • Administration of the credit card payment system: scheduling use, training users, reconciling payments, and ensuring proper routing with the Bursar.
  • Weekly and monthly reconciliation of ledger and sub‑ledger for financial aid, cash receipts, and student account invoicing, with reporting to senior staff.
  • Assist in hiring, training, and supervising student workers.
  • Triage and resolve student and family inquiries, referring to departments such as Financial Aid, Registrar, and Residence Life as appropriate.
  • Support development and implementation of policies, programs, and interdepartmental initiatives.
  • Participate in semester billing setup, including rate table creation, tuition posting in Colleague, and student bill issuance.
  • Represent the office on college‑wide committees and Governance Committee projects as required.
  • Maintain confidentiality and exercise independent judgment in conflict‑resolution scenarios involving students.
Key Knowledge, Skills, and Abilities
  • Finance:
    Proficient in accounting concepts, accounts receivable processes, credit and collection principles, and federal/state financial aid policies.
  • Higher Education Systems:
    Strong understanding of higher‑education student account operations and experience with the Colleague ERP (Ellucian).
  • Technical:
    Advanced Microsoft Word and Excel skills; analytical, organizational, and quantitative abilities.
  • Interpersonal:
    Superior customer service, problem‑solving, negotiation, written and oral communication, and proficiency in presenting to diverse audiences.
  • Confidentiality:
    Demonstrated ability to safeguard sensitive information.
Requirements
  • Bachelor’s degree.
  • Minimum two years of experience in a student accounts environment.
  • At least one year of experience with database computer systems.
