The Opportunity

Tire One Partners is seeking a proactive and detail-oriented Office Manager/Bookkeeper to support our Boston, Chicago, and New York offices on a part-time basis (24-27 hours per week). This person can be based in either our Boston or Chicago office.

You’ll play a key operational role at a nationally recognized, award-winning integrated marketing agency – partnering closely with senior leadership, to keep the business running smoothly and help shape a positive culture across Tier One's Boston, Chicago, and New York offices.

This is a hands‑on, agency support role combining bookkeeping and finance administration, light HR support, and office management.

Key Responsibilities Bookkeeping & Payroll
  • AR, AP, and reconciliations (bank and credit card accounts) in Quick Books Online
  • Payroll entry, deductions, and review with Alcott HR/iSolved (PEO firm)
  • Process 401(k) contributions, including journal entries, and manage relationships with the 401(k) provider and third‑party administrator
  • Support monthly and year‑end reporting in partnership with our external accounting firm
  • Monthly client invoicing; contract management and organization; track client billable expenses; follow up with clients on overdue receivables
  • Manage employee credit cards and reimbursements; bill pay through
  • Prepare financial reports as requested (payroll, expenses, AR, AP)
  • Maintain a strong understanding of Tier One's expenses and proactively identify opportunities to cut costs
  • Maintain a strong understanding of employee utilization and forecast vs. actual hours; report and monitor for the Senior Leadership Team
HR Administration
  • Provide light HR administrative support with Alcott HR, including maintaining the Employee Handbook, tracking and updating pay changes, and collecting/e‑filing employee paperwork
  • Manage the employee on‑ and off‑boarding process
  • Follow and manage the Operations Calendar for important dates and deadlines
Office Management/Technology
  • Maintain administrative recordkeeping and e‑filing (using Google Drive folders and sites)
  • Coordinate with Tier One's managed IT provider, Miles IT, on employee onboarding and offboarding; manage agency's laptop inventory
  • Maintain a strong understanding of Tier One's technology partners (e.g., Cumulus Global, Miles IT) and the services they offer, including security
  • Take a proactive approach to managing risk
  • Identify opportunities to increase Tier One's use of AI to streamline finance and operations

Qualifications
  • 2+ years of bookkeeping, accounting, or office management experience; agency or professional services experience a plus
  • Proficiency with Quick Books Online required; experience with Ramp, payroll/HRIS platforms (e.g., iSolved), and Google Workspace preferred
  • Experience with payroll processing, 401(k) administration, and basic HR administrative functions
Your Pay and Benefits
