The Union Benefits Auditor is responsible for conducting detailed audits and reconciliations of union benefit records, employee eligibility data, monthly invoices, and benefit-related transactions to ensure accuracy, compliance, and adherence to applicable Collective Bargaining Agreements (CBAs). This position reviews data across multiple union and internal systems, identifies discrepancies, investigates variances, and works collaboratively with Human Resources, Payroll, Finance, Operations, and union benefit providers to resolve issues.
The ideal candidate is highly analytical, detail-oriented, organized, and comfortable working with large volumes of employee and financial data. The position requires the ability to interpret CBA language, perform complex reconciliations, meet strict deadlines, and identify trends or inconsistencies that may impact benefit costs or employee eligibility. Strong Excel skills and experience working with HRIS, payroll, union, or benefits data are required.
Bilingual Spanish preferred.
- Minimum of 3 years of experience in benefits, HRIS, payroll, auditing, accounting, or a related analytical function.
- Strong knowledge of union benefits, employee eligibility, and benefit reconciliation processes.
- Ability to interpret and apply Collective Bargaining Agreement (CBA) provisions.
- Strong analytical and problem-solving skills with exceptional attention to detail.
- Advanced proficiency in Microsoft Excel, including sorting, filtering, formulas, pivot tables, and data reconciliation.
- Experience working with HRIS, payroll, benefits, or union databases.
- Ability to analyze large data sets and identify discrepancies, trends, and potential compliance issues.
- Excellent organizational and time-management skills with the ability to manage multiple priorities and strict deadlines.
- Strong written and verbal communication skills.
- Ability to maintain confidentiality when handling employee, payroll, and benefits information.
- Bilingual Spanish preferred.
- Union Benefits Auditing & Reconciliation
- Conduct regular audits of employee union benefit records across multiple union databases and internal HR/payroll systems.
- Reconcile union membership and benefit records against the company’s master employee roster and payroll records to identify discrepancies in eligibility, enrollment, status, and deductions.
- Audit monthly union benefit invoices for Pension, Training, Health & Welfare, Vision/Dental, Dues, and Trust contributions.
- Validate invoice calculations against applicable rates, eligibility requirements, and Collective Bargaining Agreement (CBA) provisions.
- Perform monthly roster reconciliations and investigate changes in employee status, eligibility, contributions, and benefit participation.
- Analyze month-over-month changes in union rosters and benefit costs and provide detailed variance analysis to Operations, Human Resources, Payroll, and Finance.
- Identify over payments, underpayments, duplicate charges, missing employees, incorrect rates, and other discrepancies.
- Research and document audit findings and coordinate corrective actions with appropriate internal departments and external union benefit administrators.
- Maintain detailed audit records, supporting documentation, reconciliation schedules, and resolution tracking.
- Become familiar with CBA contract language for the various unions under the organization and apply contractual requirements when conducting audits.
- Monitor union benefit data for compliance with contractual requirements and internal policies.
- Assist with union-related inquiries by researching employee records, eligibility, contributions, and benefit discrepancies.
