Administrative Assistant

Overview
:
Cruz Management Company Inc is seeking an Administrative Assistant who is a qualified professional and will be responsible for handling daily office operations, supporting the office team, and maintaining organized workflows. This role covers a wide range of administrative responsibilities to keep daily operations organized and efficient.

Responsibilities
  • Office Operations:
    Welcome visitors and provide general office assistance; assist with project coordination and task completion; maintain a clean and organized workspace; provide information by answering questions and requests; ensure operation of equipment by completing preventive maintenance, calling for repairs, maintaining equipment inventories, and evaluating new equipment and techniques; maintain supplies inventory by checking stock, anticipating needs, placing and expediting orders; run errands such as picking up supplies.
  • Scheduling and Coordination:
    Manage calendars, schedule appointments, coordinate meetings and training sessions, plan company events, and coordinate social activities including catering and venue booking; coordinate meetings, send invites and agendas, set up audio/video equipment; arrange travel and accommodation if needed.
  • Communication:
    Answer phones, take messages, direct calls; handle incoming and outgoing mail and faxes; manage company emails and direct to appropriate departments; sort mail and faxes daily.
  • Staff Support:
    Assist in filing for the Property Management Team during busy periods (e.g., inspections and audits); organize and store documents physically and digitally; typing, copying, scanning, and binding documents; perform basic bookkeeping tasks including receiving, scanning, and posting residents’ rental checks in Yardi; support the team with organization and communication; perform other related duties as required.
Knowledge, Skills, and Qualifications
  • College/High School diploma and/or equivalent professional experience.
  • Bilingual in English and Spanish preferred.
  • Excellent organizational and time management skills; ability to handle multiple concurrent assignments.
  • Computer skills:
    Proficiency in Microsoft Office (Excel, Word).
  • Strong written and verbal communication skills; customer service skills; professionalism; strong organizational skills; problem solving; attention to detail.
  • Establish, maintain, and foster positive working relationships with colleagues.
