Description

This position assists in the management of our Boston office and supports the Chief Operating Officer and Office Managers with office and facilities-based activities.

Essential Responsibilities
  • Maintain a well-stocked and orderly office environment (kitchens, copy rooms, etc.)
  • Manage office supplies by checking inventory levels, placing and expediting orders, verifying receipt, and stocking items as needed
  • Place regular inventory checks for kitchen and special requests to anticipate needs
  • Manage the conference room calendar by scheduling meetings and conference calls in collaboration with the Robin application
  • Screen, field, and prioritize inbound communication via telephone, mail, and email
  • Process incoming and outgoing mail and handle all interactions with Fed Ex, USPS, UPS, etc.
  • Support administrative staff in planning and executing office events, volunteering events, and other employee engagement events for the Boston office
  • Handle general office duties and special projects as needed (legal, HR, accounting support)
  • Manage office team lunch orders for the Boston office
  • Assist in onboarding new hires
  • Interface with building management to handle repairs, visitor registration, and new employee setup
Requirements
  • 1-3 years experience in a professional office environment
  • High sense of urgency
  • Strong ability to manage competing priorities and work independently on a wide range of issues and projects while delivering quality work
  • Strong interpersonal and communication skills with a high degree of professionalism
  • Ability to collaborate cross-functionally across the organization with executives and team members
  • Ability to research information, solve problems independently, and coordinate projects
  • Continuous learner who is open to feedback
  • Self-starter who works independently and is ambitious
  • High proficiency in electronic communications and Microsoft Word, Outlook, and Excel
  • Flexibility to work quickly and accurately while exuding positivity
  • Ability to build rapport and trust in a collaborative, transparent work environment
