Trust Administration Specialist will support the Private Client & Trust Group by providing operational and administrative support for trust matters, with a primary focus on supporting irrevocable life insurance trust (ILIT) administration. This role supports the Trust Operations and Administration teams by helping maintain accurate records and consistent processes that contribute to excellent client service and efficient operations.
This position maintains key workflows, ensures data accuracy and reduces operational risk through dependable process ownership. Success in this role requires reliability, professionalism, and the ability to contribute positively to a collaborative, fast-paced environment.
ESSENTIAL DUTIES AND RESPONSIBILITIES Workflow & Data Stewardship- Serve as the primary steward of the ILIT process and related trust administration tools.
- Research, validate, and populate missing or inconsistent data across trust and policy records.
- Serve as a centralized resource ensuring consistency, accuracy, and adherence to document standards across trust and policy records.
- Serve as the primary owner of the ILIT status and monitoring log, with responsibility for its accuracy, maintenance, and ongoing usability.
- Manage incoming physical and electronic correspondence, prioritizing items that impact client deadlines, including insurance and premium-related materials.
- Prepare and maintain documents within the firm’s document management system (Net Docs) following established standards.
- Monitor premium deadlines, track payments and escalate risk indicators.
- Track and reconcile confirmations, statements, and communications from insurance carriers and external partners.
- Support account status updates, including maintaining audit trails for account closings and transitions.
- Update records in Inno Trust, Black Diamond and related databases.
- Maintain structured workflows that support data integrity and downstream reporting tools (e.g., Excel, Power Query).
- Assist in developing, implementing, and maintaining standardized operating procedures, checklists, and process documentation in support of collaborative, continuous improvement efforts.
- Provide operational support to trust administrators by coordinating documentation, follow-ups, and information gathering.
- Support special projects and broader trust operations initiatives as needed, including providing backup coverage and operational continuity to ensure smooth, consistent departmental workflows.
- Bachelor’s degree or equivalent combination of education and experience.
- Prior experience in an administrative, operations, or professional services support role preferred but not required.
- Strong organizational skills and attention to detail.
- Ability to manage multiple process-driven tasks with consistency and accuracy.
- Comfort working with confidential and regulated information.
- Proficiency in Microsoft Office, especially Excel.
- Familiarity with trust accounting, trust administration, or fiduciary systems is a plus, but not required.
- Ability to learn new systems and workflows.
- Strong written and verbal communication skills.
- Ability to work constructively as part of a team and contribute to a positive, collegial environment.

The salary range for this position is $75,000 to $90,000 annually, depending on qualifications and experience.
