Lead Receptionist
The Lead Receptionist serves as the first point of contact for patients, families, visitors, and staff, providing a welcoming and professional presence at the front desk. This role is responsible for ensuring excellent customer service, effective communication, and smooth day-to-day front desk operations. The Lead Receptionist oversees the scheduling and workflow of the receptionist team, provides administrative support to the Admissions Department, and may provide coverage for the Executive Assistant when needed.
The hours for this role are 7:00am - 3:30pm.
Key Responsibilities:
- Greet and assist patients, families, visitors, and staff in a professional, courteous, and compassionate manner.
- Serve as the primary contact for front desk operations, ensuring quality customer service and timely response to inquiries.
- Supervise daily activities of reception staff, including scheduling, task assignments, and providing guidance or coaching as needed.
- Maintain the receptionist schedule to ensure consistent coverage for all shifts.
- Provide administrative support to the Admissions Department, including data entry, document preparation, filing, and phone support.
- Assist in coordinating communication between Admissions, clinical staff, and other departments as directed by the Manager of Admissions.
- Take initiative in identifying and resolving front desk operational issues, escalating matters when appropriate.
- Ensure compliance with all facility policies, procedures, HIPAA regulations, and confidentiality standards.
- Monitor and control building access by verifying the identity of all individuals before unlocking entry doors, ensuring the safety and security of staff and patients.
- May provide backup coverage for the Executive Assistant as needed, including managing calls, scheduling, and handling administrative tasks for executive team.
- Perform other duties as assigned.
Qualifications:
- High school diploma or equivalent required; associate degree or higher preferred.
- Minimum of 23 years of receptionist, administrative, or customer service experience; healthcare setting preferred.
- Demonstrated leadership skills with the ability to oversee staff scheduling and provide direction.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities.
- Excellent communication skills, both verbal and written.
- Proficiency in Microsoft Office Suite and familiarity with electronic health record (EHR) systems preferred.
- Professional demeanor with ability to maintain composure in a fast-paced environment.
