PATIENT COORDINATOR, GROUP PRACTICE, School of Dental Medicine, Clinical Affairs

Job Summary: Reporting directly to the Clinic Practice Manager, the Patient Coordinator works as part of a team within the Group Practice Model to ensure excellent customer service for both patients and students. The coordinator strives to make each phase of patient treatment a positive experience, from the initial phone call through completion of dental care.
Responsibilities- Provide support to student providers by contacting patients and booking all appointments; assist students and patients with questions and concerns; esculate unresolved issues to Practice Manager or Practice Leader; answer calls, voicemails, and respond to emails.
- Run and maintain patient waitlist reports; review scheduling opportunities including emergencies and backfills; update appointment status (canceled/no-show); send follow-up letters per discontinuance protocols.
- Perform check‑in duties: update demographics and insurance, verify eligibility, consent, signed treatment plan; accept payment and provide receipt; notify provider of patient’s arrival.
- Perform check‑out duties: book follow‑up appointments; collect balances; process bills/invoices; provide appointment card; notify required payment; verify session close.
- Perform closing duties: ensure all charges processed; reconcile daily payment transactions (cash/check/credit); deliver collection bag to Office of Finance.
- Other duties and assignments in support of clinic operations and patient care services as needed.
- High School Diploma required;
Associate’s degree preferred. - 1‑3 years of customer service experience with heavy customer/patient interaction; prior experience in health‑care private practice, hospital, clinic, or dental practice preferred.
- Ability to be flexible and adapt to changes, including delays and unexpected events.
