A biotech in the Boston area is seeking a proactive and organized Administrative Operations Specialist to support daily operational and administrative functions within a dynamic environment. This role ensures smooth coordination across teams, supports business workflows, and helps maintain efficient office operations. The ideal candidate is detail-oriented, adaptable, and eager to contribute to a collaborative team.
Key Responsibilities- Provide general administrative support, including scheduling meetings, maintaining calendars, and managing internal communications.
- Coordinate office operations such as supply management, vendor relationships, mail handling, and facility requests.
- Prepare, review, and distribute internal documents, reports, and presentations.
- Support cross-functional teams by assisting with project coordination, tracking deliverables, and communicating updates.
- Manage logistics for team meetings, events, and visitor coordination.
- Assist with data entry, records management, and maintaining accurate departmental files.
- Respond to employee inquiries and support operational needs in a timely and professional manner.
- Identify opportunities to improve administrative processes and help implement solutions.
- 2+ years of administrative or operational support experience, preferably in biotech, life sciences, or a fast-paced office environment.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Comfortable working independently as well as part of a team.
- Positive attitude, resourceful problem solver, and professional demeanor.
- $60-80k range
