Our client, a financial services institution, is seeking an Administrative Support Coordinator to provide critical support across technology operations, vendor management, and office services. In this role, you'll coordinate and negotiate vendor contracts, oversee user access and security workflows, and help maintain the systems and processes that keep the firm running smoothly. The ideal candidate brings 2+ years of operations or administration experience supporting facilities and enjoys working in a professional environment with a small, collaborative team.

Responsibilities include overseeing day‑to‑day administrative processes that support technology and office operations; serving as a central coordination point between leadership, vendors, building management, and internal stakeholders; managing physical security and access control tasks such as badges, mobile credentials, and visitor access; coordinating IT‑related facilities needs including equipment rooms, copiers, and postage systems; administering vendor contracts, billing, renewals, and due‑diligence documentation across a large vendor base;
supporting user lifecycle workflows including onboarding, offboarding, and application access for key third‑party platforms; monitoring a shared helpdesk inbox, and tracking requests; and processing expenses and invoices.
The ideal candidate possesses 2+ years of experience with vendor management and negotiation, operations coordination, or technical support functions; proven experience managing vendors, contracts, or subscription‑based services with strong follow‑through; high attention to detail with strong organizational skills and comfort tracking data in tools like Excel and databases; an upbeat, service‑oriented approach and the ability to build strong relationships across a small, close‑knit team;
and discretion handling sensitive information with professionalism and reliability.
