Location: 100% Onsite

Schedule: Monday–Friday, 8:30 AM–5:00 PM

Duration: 3–6 month leave coverage

Pay Rate: $25.00–$27.50/hour

Position Overview

Seeking a Senior Administrative Assistant to provide high-level administrative and operational support to the Dean’s Office and the Undergraduate Program Office. This role serves as a key point of contact for students, faculty, staff, and visitors, ensuring professional communication, efficient office operations, and excellent customer service across the department.

Key Responsibilities
  • Coordinate and manage the confidential filing systems for the Dean’s Office, ensuring accuracy and discretion
  • Serve as the first point of contact for students, faculty, staff, and visitors; provide assistance and direct inquiries appropriately
  • Answer and route incoming phone calls and emails; elevate inquiries to appropriate staff when needed
  • Receive, sort, and distribute mail within the department
  • Provide administrative support to the Undergraduate Program Office, including preparing correspondence, mail merges, electronic filing, scanning, copying, and maintaining email distribution lists
  • Maintain clear communication between the university, college, and departmental units while delivering a high level of customer service
  • Gather, maintain, and update departmental and university databases, spreadsheets, and communication platforms related to current and prospective students
  • Retrieve and organize information from electronic databases and records as requested
  • Process departmental forms and ensure accurate data entry into university and departmental systems
Qualifications
  • Senior-level administrative experience, preferably in a higher education or academic setting
  • Strong organizational skills with the ability to manage confidential information
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and database systems
  • Ability to manage multiple priorities in a fast-paced office environment
  • Professional demeanor and strong customer service skills
