Job Description
We are seeking an experienced Executive Assistant to provide high-level administrative support to the Director and Deputy Director during a transitional period. This role is critical to ensuring continuity, organization, and effective communication while responsibilities transition internally. The Executive Assistant will serve as a trusted partner and gatekeeper for leadership, managing daily administrative and coordination needs.
Key Responsibilities- Provide direct administrative support to the Director and Deputy Director
- Act as the gatekeeper for the Director’s Office, managing access, communications, and priorities
- Manage complex calendars and schedules, including coordinating internal and external meetings
- Prepare and edit materials such as PowerPoint presentations, agendas, and meeting documentation
- Attend leadership team meetings and capture meeting minutes
- Coordinate logistics for on-site visitors and Director travel
Handle expense management and submissions, including use of internal systems for invoice processing - Serve as the first line of communication for the Director’s Office, including email, phone calls, and correspondence
- Communicate with external partners to schedule meetings and coordinate logistics
- Perform additional administrative duties based on experience and skill set

- 2–4 years of experience as an Executive Assistant, supporting Directors or C‑suite leaders
- Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience using collaboration tools such as Microsoft Teams and Zoom
- Highly organized, efficient, and detail-oriented
- Comfortable working in a fast-paced, professional environment with senior leadership
- Ability to handle confidential information with discretion and professionalism
- Experience in a cultural, nonprofit, or governance-driven organization
- Understanding of organizational structures involving Boards of Directors and governance bodies
- Experience supporting leadership teams within regulated or mission-driven environments
