The Estate and Trust Administrator will work directly with Howland Capital’s Chief Fiduciary Officer to support Howland Capital’s portfolio management, portfolio administrators, tax team, and clients. The Estate and Trust Administrator is responsible for coordinating review of client trusts and estate planning as well as assisting with estate and trust administration. This hybrid role has an in-office requirement of 10 days perm onth.

Functions
  • Conduct high-level summary reviews of client estate plans to identify key provisions and potential areas of concern
  • Assist the Chief Fiduciary Officer in conducting regular, detailed reviews and cataloging of trust documents
  • Oversee administration of client estates, ensuring accurate tracking and execution of necessary steps in estate settlement
  • Maintain a comprehensive calendar to monitor estate tax return due dates, disclaimer dates, termination dates, and other estate and trust-related event dates
  • Re-register client accounts to reflect trustee or beneficiary changes in a timely manner
  • Support the Chief Fiduciary Officer in drafting, preparation, and execution of Trustee Appointments, Release Agreements, Promissory Notes, and other documents
  • Prepare and maintain probate accounting reports and filings for selected estates and trusts
  • Maintain and review updated IRA beneficiary designations
  • Prepare and distribute Crummey withdrawal notices and process premium payments for all Irrevocable Life Insurance Trusts (ILITs)
  • Organize trust and estate files for accuracy and accessibility
  • Bachelor’s degree required; paralegal certification, CTFA, CPA, or other relevant credentials preferred
  • Excellent phone presence, verbal and written skills
  • Ability to manage and prioritize multiple tasks and projects
  • Ability to work independently and collaboratively with various teams within the firm
  • Strong organizational skills with great attention to detail
  • Proficiency in MS Office products (Outlook, Word, Excel)
  • Prior experience in financial services or law preferred
