Service Center Representative

The Service Center Representative provides a prompt, efficient and professional response in a variety of areas within the Clough School of Theology and Ministry (CSTM), including day‑to‑day operations, support for Student Affairs and Career Services, and supervision of Graduate Assistants. This position reports to the Associate Dean, Finance and Administration.

Responsibilities

Office Functions (50%)

  • Fulfills general office work within CSTM Service Center, including greeting guests, responding to inquiries, and providing assistance to CSTM faculty, staff, students, as well as campus partners and the wider public.
  • Staffs CSTM Service Center Front Desk.
  • Serves as primary liaison with BC mailroom and handles all incoming and outgoing mail, UPS, Fed Ex, etc.
  • Serves as primary liaison for maintenance of the copier/printer/scanners.
  • Works with Associate Dean, Finance and Administration on submission of Facilities Work Order Requests.
  • Maintains all supplies and forms.
  • Works with the administrative team to coordinate orientation events in the fall, winter, and summer.
  • Provides administrative support to the Associate Dean, Student Affairs and Career Services.
  • Serves as part of CSTM administrative team, participating in regular meetings and the overall life of the school.

Graduate and Student Assistants (20%)

  • Teaches and trains new Graduate and Student Assistants in the CSTM Service Center and serves as a resource to all CSTM Graduate and Student Assistants.
  • Assists with GA Orientation for CSTM GAs and SAs and partner GAs.
  • Coordinates Service Center GA and SA Orientation programs.
  • Develops and maintains office schedule for Service Center GAs each semester (Fall, Spring, Summer).
  • Assigns Service Center GAs to cover events each semester (Fall, Spring, Summer).
  • Works with team of Service Center GAs on day‑to‑day operations and manages projects for which they are responsible.
  • Leads weekly Service Center GA meetings.
  • Coordinates GA support, if possible, over breaks.

Fiscal and Grant Management Support (30%)

  • Provides general fiscal and administrative support to CSTM administration and faculty.
  • Processes Accounts Payable expense reports and vouchers, professional independent contractor employment paperwork, and vendor payments.
  • Coordinates CSTM student conference funding application process and awards.
Requirements
  • Clear and concise verbal and written communication skills.
  • Strong ability to listen and understand each customer’s issue.
  • Computer skills, including strong MS Office (Word, Excel) and specific technical packages as required; willingness and ability to learn new software programs and technologies quickly.
  • Strong communication and organizational skills.
  • Cooperative team player who works well independently and with others in a team‑oriented, fast‑paced environment.
  • Bachelor’s degree preferred.
  • Background in theology and/or ministry preferred.
  • 1-2 years of fiscal and/or administrative experience preferred.
  • Demonstrated functional experience in MS Office and Google Suite.
  • Understanding of or aptitude for administrative and operational concepts, especially in higher education.
  • Strong customer service focus.

Some evening or weekend work may be required.

Hiring Range: $24.12/hr to $30.14/hr pay rate commensurate with relevant experience.
