Executive Assistant - Financial Services - Boston, MA
We are seeking candidates for an Executive Assistant position with a leading investment management firm located in Boston, MA. The Executive Assistant will be responsible for supporting the C-Suite leaders and managing daily office operations. The ideal candidate will have 3+ years of administrative experience within the investment management or professional services industry.
This is a 3-6+ month contract-to-hire position that will pay $38-48/hour (depending on experience). This position supports a hybrid work model, on-site 4 days per week in their Boston office.
Responsibilities:
Provide high-level executive support to the CEO and C-suite while overseeing daily office operations
Manage complex calendars, meetings, and domestic and international travel arrangements
Prepare executive correspondence, presentations, and briefing materials
Coordinate executive, board, and investor/client meetings, including agendas, materials, and logistics
Monitor priorities and ensure timely follow-up on action items
Oversee office operations, including vendor management (IT, facilities, security, and office supplies), onboarding support, and workspace logistics
Serve as the primary point of contact for office-related needs and act as a trusted liaison to internal and external stakeholders
Handle confidential information with discretion and provide support on special projects as needed
Perform additional duties as assigned
Qualifications:
Bachelor’s degree required
3+ years of experience in executive assistance, administrative support, or office management within investment management, financial services, or a related professional services environment
Proficiency in Microsoft Office (Outlook, Word, PowerPoint, and Excel)
Fluent in English and Spanish, with strong written and verbal communication skills in both languages (preferred but not required)
Excellent organizational, time management, and prioritization abilities
High level of professionalism, discretion, and sound judgment
Strong attention to detail with exceptional follow-through
