Overview
Vertex is actively seeking a highly motivated Executive Assistant to support the Senior Vice President (SVP), Commercial Manufacturing & Technical Operations (CMTO). The CMTO organization is responsible for end-to-end commercial manufacturing operations, manufacturing science & technology, and business operations across Vertex’s growing and increasingly complex commercial portfolio — spanning small molecules, biologics, and cell & gene therapies.
Responsibilities- Serve as the primary support professional for a Senior Vice President, independently handling a full range of administrative activities.
- Act as the delegate for the executive, handling details of a highly confidential and critical nature related to the function/department.
- Interact regularly with senior leaders inside and outside the company in coordinating the affairs of the executive.
- Manage the executive's complex and detailed calendar, frequently coordinating logistics and sharing information with other assistants and leaders both internally and externally; coordinate complex travel and meeting logistics, anticipating and resolving any problems to ensure a seamless experience for the executive.
- Manage own workload, reprioritizing as unanticipated situations arise; assist the executive to adjust schedules to meet new and changing deadlines.
- Produce high-quality documentation and contribute to building efficient processes and systems for administrative activities.
- Independently prioritize and address requests for appointments, emails, and telephone calls based on the needs and objectives for the executive.
- Maintain a high level of confidentiality of information related to the organization and staff.
- Coordinate activities between departments and or outside parties.
- As delegated by the executive, follow up with stakeholders at all levels to gather needed information, prompt/remind them of critical deadlines, and help remove any administrative roadblocks that prevent them from meeting their obligations to the executive.
- Prepare meeting materials, including meeting agenda preparation and distribution, collecting and printing meeting pre-reads, minute- or note-taking, and assembling/editing PowerPoint presentations.
- Process group purchase orders, invoices, and contracts.
- Assist with visitor registration, including pre-registering and escorting visitors.
- Assist with onboarding of new personnel into the department.
- Provide guidance and training to less experienced colleagues.
- Apply knowledge of business/department priorities to anticipate the executive's needs and drive administrative process improvements.
- Build collaborative and productive relationships across the organization and at all levels.
- Advanced knowledge of Microsoft Office products.
- Advanced time management and organizational skills, with a proven ability to independently prioritize own work and multitask to meet changing or competing timelines.
- High attention to detail.
- Advanced verbal and written communication skills.
- Exceptional interpersonal skills, especially with senior executives.
- Ability to handle highly confidential and sensitive information.
- High School or Secondary School Education.
- 5 years of experience, or the equivalent combination of education and experience.
$89,600 - $134,400.
