Job Description

The Dartmouth Group is hiring a part time Administrative Assistant to support its condominium community near the downtown Boston area.

Work schedule:

MWF, 7am - 3:30pm EST.

Responsibilities
  • Meet and greet visitors, guests, home owners, vendors, and members of the board.
  • Research and respond to inquiries in person, by phone, and email.
  • Manage all communication to homeowners to include mass emails, written correspondence, letters, violation notices, forms, monthly newsletter, etc.
  • Assemble Welcome Packets, Resale Packets, Board packets, etc.
  • Assist in conducting routine property inspections and service evaluations, monitoring compliance of policy and procedures.
  • Ensure Concierge Convenience inventory remains stocked with all inventory items if applicable. Replenish items as needed. Order supplies as needed.
  • Enter, update, and close out Work Order Tickets. Schedule and coordinate vendors onsite.
  • Code and process invoices, assist with AP and AR functions.
  • Monitor security cameras and devices.
  • Other projects as requested.

Pay rate: $25-$26 per hour.

Qualifications
  • 2+ years of experience providing administrative, office support, and customer service.
  • Proactive communication style with excellent written and spoken communication skills.
  • Attention to detail, ability to prioritize tasks, and meet time-sensitive deadlines.
  • Solutions driven and team oriented.
  • Well-versed in using Microsoft Office Suite (Word, Excel, and Outlook).
