Administrative Assistant 3
We are seeking an experienced Administrative Assistant 3 to support Business Operations & Corporate Services. This role focuses on ensuring a safe, efficient, and well-organized work environment by providing high-level administrative, logistical, and operational support to leadership and teams.
Key Responsibilities- Perform standard office functions including filing, document management, and correspondence handling
- Screen calls, respond to inquiries, and direct communications appropriately
- Schedule and coordinate meetings, conferences, and appointments
- Review and edit documents for accuracy, grammar, and formatting
- Prepare expense reports, purchase orders, and maintain office supplies
- Update organizational charts and assist with departmental or workspace moves
- Compile and report data relevant to leadership assignments
- Act as a central point of contact for departmental inquiries
- Handle sensitive and confidential information with discretion
- Respond professionally and promptly to internal and external stakeholders
- Manage calendars and coordinate meetings, events, and travel arrangements
- Collaborate with internal/external stakeholders for venue booking, catering, materials, and setup
- Ensure compliance with company travel policies using internal systems
- Work with travel vendors, airlines, and service providers to resolve issues
- Create high-quality presentations (graphics and text) under tight deadlines
- Interpret requirements and develop effective presentation formats
- Prepare reports by compiling relevant data from multiple sources
- Bachelor's degree with minimum 5 years of relevant experience, OR:
- Master's degree + 4 years
- PhD/Law degree + 3 years
- Associate's degree + 6 years
- High School diploma + 7 years
- Strong organizational, communication, and multitasking skills
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Experience managing calendars, travel, and event coordination
- Ability to handle confidential information with professionalism
- Experience supporting senior leadership
- Strong attention to detail and problem-solving skills
- Ability to work in fast-paced environments and manage multiple priorities
