Job Responsibilities:
Manage calendars, scheduling, and meeting coordination across multiple time zones Arrange domestic and international travel logistics, including itineraries and visa coordination Process expense reports and handle administrative workflows (timekeeping, documentation, etc.) Coordinate internal and external meetings, including space reservations, catering, and accommodations Prepare and organize materials for client proposals, presentations, and internal documentation Support multiple stakeholders with shifting priorities, complex schedules, and travel demands Communicate with vendors, clients, and internal teams via email and phone Handle sensitive information with discretion and confidentiality Troubleshoot issues and provide administrative solutions as needed Assist with special projects and deadlines Provide back-up front desk support, including answering phones, greeting visitors, and managing deliveries Candidate
Qualifications:
High school diploma required;
Associate's or Bachelor's degree preferred 4+ years of administrative or executive assistant experience, ideally in a professional services environment Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams); SAP and Concur experience a plus Strong written and verbal communication skills Professional demeanor with strong judgment and attention to detail Highly organized, dependable, and punctual Ability to multitask and manage competing priorities in a fast-paced environment Collaborative, client-focused mindset with a proactive approach to work Ability to work both independently and as part of a team Strong work ethic, problem-solving skills, and adaptability Beacon Hill is an equal opportunity employer and individuals with disabilities and/or protected veterans are encouraged to apply.
