Location:
Boston, MA - Hybrid
- Manage calendars for the team leads: schedule internal and external meetings, prioritize time against strategic priorities, and resolve conflicts quickly.
- Own the meeting operating system for the team: prepare agendas, ensure pre‑reads are sent, document decisions and actions, and follow up.
- Plan and book domestic and international travel, including agendas, logistics, and briefing materials.
- Ensure expense reports and purchase orders are completed accurately and within budget limits.
- Support the annual and quarterly planning cycle (collect inputs from team leads, consolidate plans, and prepare planning meetings and materials).
- Turn priorities into concrete action plans (draft simple project plans, define owners and timelines, track progress in a lightweight tool like a Kanban board).
- Maintain a team roadmap/initiative tracker and regularly flag risks, delays, or decision needs to the leads.
- Support coordinating cross‑functional initiatives (align stakeholders, schedule check‑ins, chase deliverables, and keep everyone informed).
- Strong organizer and system thinker: able to turn chaos into structure and build simple, repeatable ways of working.
- Excellent written and verbal communicator, with the ability to adjust tone and detail for different audiences.
- Highly proactive and resourceful: able to anticipate needs and solve problems before they arise.
- Comfortable handling confidential information and navigating a fast‑paced, sometimes ambiguous environment.
- Proficient in Microsoft Office (Outlook, Word, PowerPoint, Excel); experience with collaboration and project tools such as Teams, Miro, Asana, Trello, or similar is a plus.
Bachelor’s Degree or 2 years of professional experience.
Compensation and BenefitsSalary range: $70,000 - $80,000 per year. Eligible for performance‑based bonus and participation in equity programs.
