Job Overview

We are seeking a highly organized and proactive Executive Administrative Coordinator to support senior leaders and teams within a fast-paced technology organization. This role combines executive support, project coordination, team engagement, and operational excellence, making it ideal for a detail-oriented professional who thrives in a collaborative environment. Candidates who demonstrate strong organizational skills, adaptability, and the ability to manage multiple priorities will be highly considered.

  • Minimum of 2 years of administrative, executive support, or business operations experience
  • Strong calendar management and meeting coordination skills for multiple stakeholders
  • Experience supporting senior leaders and cross-functional teams
  • Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Power Point
  • Experience using virtual meeting and collaboration platforms such as Microsoft Teams and Zoom

What the Client Needs You to Do

The successful candidate will serve as a key operational partner supporting leadership, team initiatives, and organizational programs. This role requires someone who can anticipate needs, coordinate activities across multiple stakeholders, improve administrative processes, and contribute to a positive and engaging team culture. Success will be measured through efficient execution, strong collaboration, and the ability to keep projects, communications, and administrative functions running smoothly.

Key Responsibilities
  • Manage executive and team calendars, proactively resolving scheduling conflicts and coordinating meeting logistics
  • Organize workshops, training sessions, team meetings, and special events from planning through execution
  • Coordinate travel arrangements, expense reporting, and adherence to company policies and procedures
  • Maintain office, meeting, and event supplies to ensure operational readiness
  • Manage and update communication distribution lists and team contact resources
  • Support organization-wide initiatives such as compliance activities, performance processes, goal-setting cycles, and business continuity planning
  • Develop and maintain dashboards, reports, scorecards, and tracking tools that support team and project performance
  • Research and promote adoption of productivity and collaboration technologies, including emerging digital workplace tools and generative AI solutions
  • Create and maintain structured file-sharing systems, document repositories, and collaboration work spaces
  • Coordinate surveys, team communications, meeting agendas, and culture-building initiatives
  • Plan and organize volunteer opportunities, employee engagement activities, and team-building events
  • Support educational programs, training sessions, and knowledge-sharing initiatives
  • Assist with recruiting coordination, interview scheduling, candidate communications, onboarding activities, and new hire support
  • Partner with project managers and business stakeholders to ensure administrative and operational activities are completed on time
Additional Information
  • Bachelor's degree preferred
  • Experience with collaboration platforms such as Microsoft Teams, Miro, Mural, Figma, or similar tools is beneficial
  • Familiarity with project management tools such as Jira, Kanban boards, Microsoft Project, or related applications is preferred
  • Experience using HR, travel, and expense management systems is a plus
