Schedule: Monday
- Friday, 7:00 AM – 3:00 PM

St. Francis House is the State’s largest provider of day services supporting people who are at risk of or are experiencing homelessness. Located in downtown Boston, we welcome nearly 500+ adults each day, offering integrated programming that addresses housing, income, and behavioral health. This role supports our mission by maintaining organized and confidential mail services for guests and staff.

Job Summary

The Mailroom Associate is responsible for receiving, sorting, processing, and distributing mail and packages from USPS, Fed Ex, interoffice, guests, and vendors. The role ensures accurate delivery, timely processing, and confidentiality, while collaborating with staff for urgent or vendor deliveries.

Essential Duties and Responsibilities
  • Provide hospitality to all guests and create a welcoming environment.
  • Maintain procedures for handling incoming mail and packages.
  • Sort and distribute mail to correct locations per Saint Francis House schedule.
  • Scan guests’  into HMIS software when picking up mail.
  • Operate the mailroom safely, keeping it organized.
  • Label and coordinate return or destruction of unclaimed mail.
  • Engage with guests and refer them to appropriate service departments.
  • Communicate with all direct‑service departments as needed.
  • Maintain logs for housing mail, government checks, and package lists.
  • Perform other duties assigned to ensure safe and continuous operation.
  • Adhere to agency code of conduct.
Requirements
  • Enthusiasm for direct service to diverse populations and ability to work in high‑speed, high‑stress settings.
  • Comfort with guest database software and scanning technology.
  • Willingness to work weekends and holidays as required.
  • Proficiency in English.
  • Excellent interpersonal, customer service, organizational, and time‑management skills.
  • Ability to prioritize and delegate tasks effectively.
  • Proficiency with Microsoft Office or related software.
  • Ability to function in a fast‑paced, stressful environment.
  • Commitment to a person‑centered, recovery‑oriented, trauma‑informed approach.
  • Strong analytical and problem‑solving skills.
Education and Experience
  • High school diploma or equivalent (required).
  • One year of administrative/clerical experience, preferably in a mailroom setting.
  • Preference for experience with homeless, mental health, or addiction services.
  • Lived experience with homelessness or recovery is a plus.
  • Strong computer skills with various systems (database software, MS Office, internet search tools).
  • Spanish bilingual is preferred.
Work Environment and Physical Demands
  • Prolonged periods of sitting at a desk and using a computer.
  • Ability to lift up to 30 pounds.
  • Constant standing and moving throughout a multi‑level building.
  • Occasional exposure to extreme temperatures.
  • Prolonged work in a small sorting and distribution space.
  • Light housekeeping duties.
  • Use of office equipment such as calculator, copier, printer, and 2‑way radio.
