Sigma Inc. is seeking a highly organized and detail-oriented Administrative Assistant to support the Stations, Facilities & Structures Division of the MBTA (Massachusetts Bay Transportation Authority) in Boston, MA.
This is a full-time, 3-month onsite contract opportunity supporting one of the region's largest public transportation organizations. The ideal candidate will have strong administrative, reporting, procurement, and customer service experience, along with proficiency in Microsoft Office and database systems.

About the RoleThe Administrative Assistant will provide comprehensive administrative support to the MBTA's Stations, Facilities & Structures Division, which oversees the maintenance and operation of transit stations, facilities, and administrative buildings throughout the MBTA system.
This role is ideal for candidates with experience in office administration, procurement support, document management, reporting, and customer service.
Key Responsibilities- Provide administrative and clerical support to department leadership and staff
- Prepare status reports, budgets, spreadsheets, charts, and presentations
- Maintain notes, action logs, records, and departmental documentation
- Perform accurate data entry and maintain databases and reporting systems
- Analyze, prepare, and maintain reports and records
- Draft and distribute correspondence, memos, and department communications
- Coordinate procurement activities, requisitions, and invoice reviews
- Support document control and document management processes
- Assist with vendor communications and procurement tracking
- Respond professionally to inquiries from customers, vendors, and coworkers
- Support special projects and department initiatives as assigned
- Travel to MBTA work sites when needed
- Minimum 2 years of administrative, project coordination, or office support experience
- Experience supporting large departments or multiple teams
- Proficiency with:
- Microsoft Word
- Microsoft Excel
- Database applications
- CMS systems
- People Soft
- Strong reporting and data management skills
- Excellent written and verbal communication skills
- Strong organizational, analytical, and problem-solving abilities
- Ability to work independently and manage multiple
