Advancement Services Coordinator
Office of Institutional Advancement
Part-Time (20–25 hours/week), 12 Months

Position Summary

The Advancement Services Coordinator supports Landmark School's fundraising, stewardship, and constituent engagement efforts through effective database management, gift administration, reporting, and operational support. Reporting to the Director of Advancement, this position serves as the primary administrator of the Advancement CRM and works closely with the Advancement team and Business Office to ensure accurate data management, financial reconciliation, donor stewardship, and event support.

Key Responsibilities

Advancement Operations & Database Management

  • Serve as primary administrator for the Advancement CRM (currently Bloomerang), ensuring data accuracy and integrity.
  • Maintain constituent, donor, alumni, parent, and volunteer records.
  • Produce reports, analytics, mailing lists, and data exports to support fundraising, stewardship, and strategic initiatives.
  • Develop and maintain database procedures and best practices.
  • Coordinate wealth screening and prospect research support activities.
  • Process gifts, pledges, and donor records accurately and in a timely manner.
  • Coordinate gift acknowledgments and stewardship tracking.
  • Reconcile Advancement records with the Business Office and support annual audit requirements.
  • Serve as liaison to online giving platforms and payment processing vendors.

Donor Stewardship & Engagement

  • Support donor stewardship efforts, including recognition programs, impact reporting, and annual giving reports.
  • Coordinate stewardship mailings, donor communications, and constituent engagement initiatives.
  • Assist with tracking and reporting on donor participation and giving activity.

Event & Administrative Support

  • Provide logistical and database support for fundraising and engagement events.
  • Manage event registration, sponsorship tracking, guest lists, and post-event reporting.
  • Support advancement projects and departmental operations as assigned.
Requirements
  • 2+ years of experience in Advancement or Development, preferably in an independent school or nonprofit setting.
  • Familiarity with Customer Relationship Management (CRM) platforms such as Bloomerang, Raiser’s Edge or similar.
  • Event planning or event support experience.
  • Strong organizational, data management, and time-management skills.
  • Proficiency with Microsoft Office and Google Workspace.
  • Demonstrated discretion and confidentiality when working with donor and financial data.
  • Excellent organizational, communication, and interpersonal skills.

This is an hourly position. The expected compensation range for this position is $20–28 per hour with the expectation of 20–25 hours per week, 12 months a year. Final compensation will be determined based on the candidate’s skills, relevant experience, education, and alignment with Landmark School’s pay framework for internal equity.
