Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Overview
The Administrative Assistant provides office/business support to the department and generally reports directly to an Associate Director, Director or Senior Director-level manager.
Key Duties and Responsibilities- Schedules meetings, secures conference rooms and orders catering for assigned personnel.
- Serves as a departmental resource for Vertex’s internal technologies (i.e. Procurement, SharePoint, Concur, Vertex U, VLearn, etc.).
- Assists with booking flights/hotels and completing expense reports for assigned personnel.
- Prioritizes and addresses requests for appointments, e‑mails and telephone calls, handling routine and straightforward requests and routing advanced items to more senior personnel.
- Processes group purchase orders, invoices, and contracts.
- Assists with visitor registration, including pre‑registering and escorting visitors.
- Assists with onboarding of new employees into the assigned department.
- Basic knowledge of Microsoft Office products.
- Good time management and organizational skills to prioritize work and/or multi‑task.
- Attention to detail.
High school or secondary school education and 2 years of experience, or the equivalent combination of education and experience.
Pay Range and BenefitsPay Range: $33,000 - $49,000. This role is eligible for an annual bonus and annual equity awards, and may also be eligible for overtime pay in accordance with federal and state requirements.
