Administrative Assistant I

Location: 100% On-site

Schedule: Monday–Friday, First Shift

Pay Rate: $21.40 per hour

Position Overview

We are seeking a detail-oriented, organized, and proactive Administrative Assistant I to support our departmental operations. This vital role handles logistics, manages academic and faculty processes, and keeps our schedules running smoothly.

Key Responsibilities
  • Coordinate and support departmental events such as Graduation Dinner, Research Day, Lunch & Learns, Guest Dinners, and Class Photo logistics
  • Manage student onboarding including Kit Distribution and CAGS/Research Orientations
  • Facilitate faculty onboarding with Faculty Packets and coordinate faculty reviews
  • Assist with academic functions (Mock Boards, Course Scheduling, Registrar-related duties, SLC Scheduling)
  • Maintain departmental calendars, schedule rooms, and coordinate meetings (Faculty, Academic Affairs, ISSO)
  • Track and approve faculty time off requests
  • Support accreditation and compliance initiatives including CODA preparation and documentation
  • Facilitate the resident applicant interview process
  • Coordinate travel arrangements and hotel accommodations for residents and faculty
  • Manage procurement and inventory functions (office supplies, research supplies, scrubs, name plates) using university procurement systems
  • Oversee student administration (SSN documentation, VA Scholarship coordination)
  • Prepare and distribute departmental dashboards and reports
  • Assist faculty with drafting and processing Letters of Recommendation (LORs)
  • Provide general administrative support including communication coordination and meeting attendance
  • Additional duties as assigned
Qualifications
  • High school diploma or equivalent required; associate degree or higher is strongly preferred
  • Prior experience in administrative support, office coordination, or event logistics preferred
  • Strong organizational, multitasking, and communication skills
  • Detail-oriented with the ability to prioritize and manage multiple responsibilities
  • Experience with calendar management, scheduling, procurement systems, and report preparation is a plus
  • Ability to work independently and collaboratively in a fast-paced environment
