About the OpportunityAn elite global law firm is seeking a highly organized and proactive Legal Executive Assistant to provide comprehensive administrative support to attorneys and legal professionals. This role is ideal for an experienced legal administrative professional who thrives in a fast‑paced environment, excels at managing competing priorities, and is committed to delivering exceptional client service. Prior law firm experience is required.
Key Qualifications- High school diploma or equivalent required
- Law firm experience required
- 3+ years of Executive Assistant, Administrative Assistant, Legal Assistant, or Office Administration experience
, or an equivalent combination of education and experience - Strong proficiency in Microsoft Office Suite
, including Word, Outlook, Excel, and Power Point . - Excellent written and verbal communication skills
- Exceptional organizational and time-management abilities
- Strong attention to detail and accuracy
- Ability to manage multiple priorities in a fast‑paced environment
- Experience handling confidential and sensitive information
- Strong problem-solving and critical-thinking skills
- Ability to work independently and collaboratively
- Professional, client-focused approach with outstanding interpersonal skills
- Flexibility to adjust schedules as business needs require
- Manage attorney calendars, scheduling, timekeeping records, files, and correspondence
- Answer, screen, and place phone calls while maintaining professionalism and confidentiality
- Prepare and submit expense reports and check requests
- Open, review, and route mail as directed
- Monitor attorney email accounts, prioritize communications, organize folders, and maintain records management compliance
- Prepare engagement letters
, new client and matter documentation, and maintain client/matter records - Draft, edit, proofread, format, and finalize legal and business documents
- Create redlines, convert files, generate PDFs, and perform quality control reviews
- Coordinate document production and ensure adherence to professional standards
- Deliver outstanding client support and proactively anticipate attorney and client needs
- Assist with business development activities
, contact management, mailing lists, and CRM updates - Track billing and new business initiatives using reporting and tracking tools
- Collaborate with accounting teams to ensure accurate and timely client billing
- Coordinate complex domestic and international travel arrangements, including visa requirements
- Partner with internal departments to delegate and monitor work assignments
- Support technology needs by coordinating with IT professionals when necessary
- Assist with special projects and operational initiatives as assigned
- Provide backup support for printing, scanning, document processing, and other administrative services
