A well-established office property in Boston is seeking an Administrative Assistant to support daily office operations and serve as the primary point of contact for tenants, visitors, and vendors. This role offers the opportunity to work in a professional office environment where strong customer service, organization, and communication skills are highly valued. The ideal candidate enjoys interacting with people, managing multiple priorities, and helping ensure a positive experience for building occupants and guests.
Responsibilities- Serve as the first point of contact for tenants, visitors, and vendors.
- Greet guests and maintain a welcoming, professional reception area.
- Respond to tenant inquiries and direct requests to the appropriate departments.
- Assist with tenant communications, building notices, and general correspondence.
- Maintain visitor records and support building access procedures.
Administrative Support
- Answer and route incoming phone calls and emails.
- Coordinate incoming and outgoing mail, packages, and deliveries.
- Maintain organized records, files, and office documentation.
- Assist with scheduling meetings and reserving shared spaces as needed.
- Prepare reports, correspondence, and administrative materials.
Office Operations
- Support day-to-day office and property management activities.
- Coordinate with vendors, contractors, and service providers.
- Monitor office supply inventory and assist with purchasing needs.
- Support special projects and general administrative initiatives.
- Help maintain an organized and professional office environment.
- 1+ years of administrative, receptionist, front desk, customer service, or office support experience preferred.
- Strong verbal and written communication skills.
- Professional and customer-focused demeanor.
- Excellent organizational and time-management abilities.
- Ability to multitask and manage competing priorities effectively.
- Proficiency with Microsoft Office Suite, including Outlook, Word, and Excel.
- Strong attention to detail and problem-solving skills.
- Experience working in a commercial office, property management, hospitality, or professional services environment.
- Prior experience interacting directly with tenants, clients, customers, or visitors.
- Ability to work independently while collaborating effectively with a broader team.
