Position Description
The Legal Support Specialist (Life Sciences) will provide administrative support to assigned attorneys and paralegals. Specific duties and responsibilities include, but are not limited to, the following:
Key Responsibilities- Prepare and revise documents to support timekeepers, including Docu Sign documents, drafts, redlining, proofreading, and revisions based on oral instruction
- Create and maintain files, including electronic files
- Prepare new business forms, including conflict sheets, engagement letters, and waiver letters for new and existing clients
- Maintain attorney calendars, including scheduling and coordinating virtual and in-person client and internal meetings while proactively resolving scheduling conflicts
- Prepare and process invoices, expense reports, check requests, travel reimbursements, and related administrative requests
- Enter time daily and maintain appropriate records
- Review, distribute, and process prebills
- Perform audit letter processes
- Perform legal research as requested
- Maintain CLE credits and bar admissions/renewals
- Make travel arrangements while adhering to firm travel policies
- Coordinate messenger services, large-scale mailings, and copy projects
- Copy and print documents as needed
- Utilize CRM tools to support business development efforts
- Maintain professional relationships with attorneys, team members, clients, and other firm personnel
- Assist other timekeepers and team members as needed
- Work with, delegate to, and provide mentorship to support staff as appropriate
- Keep abreast of software and procedural changes
- Participate in technology and workflow enhancement initiatives
- Perform other duties as assigned
- Minimum of 4 years of administrative support experience within a law firm or legal department, preferably supporting a corporate or business practice
- Strong proficiency with Microsoft Office and legal technology applications
- Ability to work overtime as needed
- Ability to navigate and interpret legal procedures and terminology effectively
- Bachelor's degree or business college certificate
- Ability to complete tasks independently in a fast-paced environment while supporting multiple timekeepers
- Strong organizational and prioritization skills with the ability to consistently meet deadlines
- Ability to delegate work effectively when necessary
- Demonstrated initiative, diplomacy, and tact
- Excellent attention to detail, proofreading, written communication, and verbal communication skills
- Professional and client-service-oriented demeanor
- Reliable, committed, organized, and punctual
- Legal Support Assistant: $68,250 – $75,075 annually
- Legal Support Specialist: $75,075 – $91,650 annually
- Senior Legal Support Specialist: $92,625 – $114,075 annually
Final compensation will be dependent upon experience, qualifications, and overall skill set.
